The Role:
Our client, a well-established and highly regarded travel company based in Islington, North London, is seeking an Accounts Department Administrator to join their team on a temporary basis, with the possibility of a permanent role. The company specialises in providing travel services to the music and corporate sectors, offering a unique and dynamic working environment. This is an excellent opportunity for a bright, organised, and enthusiastic administrator who is keen to work in a back-office accounts function within the travel industry.
You will be highly computer literate and confident communicating with clients and suppliers worldwide, including VIP contacts. The team is friendly, sociable, and offers the perks that come with working in the travel industry, including occasional concert tickets and hotel visits.
Key Responsibilities
Daily Duties:
- Reconciling credit card statements
- Chasing hotels by phone and email for outstanding invoices
- Ensuring internal paperwork is received from booking agents
- Chasing hotel payments and keeping ledgers up to date (queries, amendments, and reconciliations)
- Contacting hotels regarding outstanding commission owed
- Raising invoices for commission payments
- Maintaining accurate and up-to-date departmental filing
- Answering departmental phone calls and directing enquiries
Weekly Duties:
- Allocating payments to sundry and WPS accounts where possible
- Preparing and sending weekly hotel collections progress reports (spreadsheet format) to the Credit Controller
General Duties:
- Managing and responding to commission-related queries from hotels
- Assisting the Credit Controller with basic queries
- Keeping the stock and filing cupboards organised (may involve loading/unloading boxes)
- Banking duties, including paying in and collecting funds (including currency where required)
- Archiving and annual movement of stored files
- Supporting other members of the accounts team during periods of increased workload
Requirements:
- Immediate availability for long-term temporary work
- Excellent telephone manner
- Strong IT skills, particularly Microsoft Office (Excel essential)
- Strong organisational and prioritisation skills
- Flexible approach to working hours
- High level of accuracy and attention to detail
- Ability to commute reliably to Islington
