Position Overview: We are seeking an experienced friendly, professional Administrative Assistant to support our EMEA General Counsel and Compliance Officer as well as the legal and compliance teams in our growing London office. You will have experience as an Administrative Assistant with excellent secretarial and organisational skills. You will be a strong team player with exceptional interpersonal and communication skills and have the ability to demonstrate initiative, being pro‑active and anticipating the needs of your client base. Diplomatic and discreet in approach, you will be able to manage a complex and demanding workload, be able to work to deadlines and have the ability to multi‑task. Above all, you will need to be well‑organised, capable of turning your hand to a variety of tasks and are calm under pressure whilst capable of thinking on your feet.
Primary Responsibilities:
- Responsible for supporting the General Counsel, Compliance Officer;
- Responsible for supporting the Legal and Compliance teams;
- Amending legal documents and reports;
- Extensive diary management and coordination of meeting and calls in several time zones, accommodating changing diaries and communicating schedules;
- Coordinate travel arrangements, locally and internationally, organizing visas as required and preparing travel itineraries;
- Arrange transport, accommodation and restaurants, as required;
- Prepare agendas and note taking in committee meetings (as appropriate);
- Management and collation of reports;
- Process expenses for reimbursement in accordance with Company policy;
- Handle confidential information and documentation;
- Telephone cover for the department – taking messages and screening calls, where applicable;
- Processing monthly AMEX bills for cardholders within the team;
- Update contacts in Outlook/sales database;
- Prepare invoices for payment using the Concur system;
- Creation and periodic updates to PowerPoint presentations;
- Printing, photocopying and scanning;
- Archiving and filing of documentation/information;
- Answering calls for the General Counsel and Compliance Officer;
- Assist in preparation of regular management reports;
- Assist with interview coordination for recruitment within the team.

- Excellent Communication and interpersonal skills
- Strong attention to detail
- Experience in Word, particularly amending documents and tracking changes;
- Organized with ability to follow up on open items
- Good judgement, independent thinker and resourceful
- Calm under pressure, can prioritise and handle multiple tasks efficiently and effectively
