As a Fleet Administrator, you will provide vital administrative support to the Fleet Department, helping to ensure all vehicles remain fully compliant, roadworthy, and operating efficiently. This is an excellent opportunity for someone with strong organisational skills and attention to detail who enjoys coordinating multiple tasks and working closely with drivers, suppliers, and internal departments. You’ll play a key role in maintaining fleet records, arranging vehicle maintenance, monitoring compliance, and supporting the overall operation of our transport network.
Role Details:
- Monday to Friday, 9am - 5pm, 40 hours per week
- 30 minute lunch break
- Full-time position
Key Responsibilities:
- Maintain accurate mileage records for all fleet vehicles
- Keep servicing, Preventive Maintenance Inspection (PMI), and compliance records up to date
- Liaise with suppliers and lead drivers to arrange vehicle servicing, maintenance, and repairs
- Ensure all repair records and documentation are accurately maintained
- Conduct driving licence checks for relevant employees
- Monitor vehicle temperature systems to ensure compliance and functionality
- Assist with vehicle setup for tracking and mapping systems
- Download, analyse, and report fleet data using Excel and other relevant systems
- Ensure daily and weekly vehicle checks are completed and recorded
- Report accidents and incidents to the company's insurance providers
- Manage fuel card allocation and monitor usage
- Process Penalty Charge Notices (PCNs) and Notices of Intended Prosecution (NIPs)
- Provide general administrative support and undertake additional duties as required
Skills & Experience:
Essential:
- Excellent communication and customer service skills
- Strong organisational skills with a high level of accuracy and attention to detail
- Good computer literacy and confidence using Microsoft Office applications, particularly Excel
- Ability to prioritise workload and work effectively under pressure
- Professional and proactive approach to work
- Strong team player with the ability to build positive working relationships
Desirable:
- Previous experience within a Fleet, Transport, Logistics, or Vehicle Administration role
- Understanding of fleet compliance and vehicle maintenance processes
