We’re looking for a proactive, organised and people-focused Office Manager to keep our Glasgow office running smoothly and support our Edinburgh hub when needed. If you love creating a welcoming atmosphere, staying on top of the details, and being the go-to person for colleagues and visitors, this could be the perfect fit.
Responsibilities
- Office Management
- Manage stationery, snacks and all office sundries
- Oversee cleaning schedules and ensure a consistently tidy workspace
- Arrange weekly office lunches and coordinate fruit, milk and other regular orders
- Process business card requests
- Monitor office sundries budgets
- Organise all Health & Safety, annual/quarterly/monthly office testing
- Meet and greet guests and provide office tours
- Prepare and distribute new starter welcome packs and access cards
- Keep internal documents and logs up to date, including contract notices and access card lists
- Facilities
- Partner with Building Management on all office infrastructure needs, from air conditioning to fire safety
- Maintain kitchen facilities and ensure all equipment is in good working order
- Build strong relationships with suppliers and contractors, including managing routine checks (e.g., water testing)
- Coordinate repairs, maintenance and remedial work, ensuring best value and service
- Tech Support
- Work with IT to set up equipment for new starters and manage leaver kit returns
- Oversee access card management via our laptop-based system
- Act as first point of contact for any office alarm alerts
- Communications
- Serve as a friendly, reliable point of contact for colleagues, visitors and new joiners
- Share clear updates on lunches, maintenance, events and office actions
- Join weekly catch-ups with other office managers to ensure consistency across locations
- Events Coordination
- Support senior leaders with planning office socials and our end-of-year celebration
- Assist with logistics for DEIB activities and other office initiatives
