Lewisham CAMHS Mental Health Support Team (MHST) is a new early intervention, prevention and wellbeing promotion service designed to help meet the mental health needs of children and young people (CYP) in education settings. Our business administration and data management colleagues are a vital part of our service and the successful candidate will be part of an expanding team of dedicated professionals, supporting schools to improve mental health outcomes for children.
Responsibilities
- Provide business administrator support to the MHST Leadership Team and assist in the delivery of a comprehensive MHST service and support to Clinical Service Lead/Managers.
- Time‑management: deal with conflicting priorities in association with high‑level matters.
- Support MHST recruitment: ensure the process is efficient, timely and meets the requirements for staff working with children and young people, including local induction and liaison with HR.
- Support Clinical Service Leads with the E‑Rostering system for the MHST.
- Lead on service‑relevant projects, as delegated by the MHST Senior Leadership Team.
- Provide excellent standard of customer care and administration support, being a first point of contact for children and families, education settings, colleagues and external agencies for a range of MHST activity.
- Oversee communications to schools and colleges, disseminate information and updates, organise regular newsletters and share information relevant to education settings.
- Maintain the MHST web page, adding and updating developments, working alongside digital services.
- Oversee data analysis, quality assurance and routine reporting requirements.
- Create and maintain up‑to‑date supervision and line‑management structures for the MHST, including staff details, and regularly check this information against budgets.
- Update and maintain absence information recorded on the E‑Rostering system on behalf of the MHST.
- Make purchases or order equipment on behalf of senior staff through e‑Procurement or Digital Services.
- Arrange payment of conferences, study days etc by completing paperwork on e‑Procurement.
- Ensure all financial matters are dealt with in accordance with the Trust’s Standing Financial Instructions (SFIs).
- Lead projects and audits as required, working closely with the MHST.
- Review, improve and implement administrative systems with the admin and business manager, consulting Service Managers when necessary.
- Provide day‑to‑day operational support to clinical and professional leads, including diary management, taking minutes and managing action logs at senior meetings.
- Oversee use of the Electronic Patient Journey System (ePJS) and uploading of new referrals, monitoring performance alongside CSLCs to meet operating targets and provide timely reports and support.
- Maintain a flexible and adaptable approach to work, keep to tight deadlines and prioritise flexibly.
- Maintain awareness and knowledge of Child and Adolescent services to answer queries from internal and external enquiries.
- Maintain good working relationships with all Trust and Corporate Departments.
- Act professionally, respecting the interests of children, young people and families, keeping confidential information confidential.
- Monitor and report data relating to quality assurance for NHSE/ICS and internal use.
- Line‑manage the Band 4 senior business administrator for MHST; deputise when necessary.
Training
- Designated Fire Warden or First Aider within the Kaleidoscope Centre and attend required meetings.
- Participate in personal development and training programmes as agreed.
