We are looking for a Billing Assistant to join our busy and rewarding finance team. The Finance Department supports all aspects of the firm’s financial requirements from the provision of strategic support through to detailed transactional processing, with a key focus on providing excellent customer service to our internal clients. The department is comprised of a central finance team (based in London and Cardiff) plus a London-based operational team covering client related transactions and working capital related activities.
Reporting to the Billing Manager, the Billing Assistant will be working with the fee-earners, partners and PAs to ensure invoices are dispatched promptly and to respond to client queries. The Billing Assistant will work closely with the Billing Coordinators to support them, also liaising closely with the Credit Control and Cashier teams, to ensure open lines of communication and workflows across the teams, as appropriate.
Key Responsibilities:- Dispatch of bills to clients and acting as the first point of contact for client queries for invoices.
- Liaising with PAs, matter handler/partner to resolve client queries, including sending invoice amendments to the Billing Coordinators to process.
- Working closely with and supporting the Billing Coordinators to ensure prompt response times. Tasks include WIP transfers, WIP write-offs, CP/MP/MH changes, adding PO numbers to invoices, reissuing invoices and other ad hoc tasks.
- Support key client relationships regarding managing bill delivery in line with client procurement requirements/expectations.
- Managing billing projects for key clients such as WIP management, specific billing requirements.
- Workload management of Billing Assistants group inbox, dealing with and resolving requests received.
- Reviewing new client and matter requests in Intapp Workflow.
- Return monies on client account and/or refunds as necessary, contact client for bank details and prepare immediate payment forms.
- Any other ad hoc queries and projects as required.
You will have a professional manner, excellent communication and interpersonal skills, and have previous experience working within an office. You’ll have a flexible nature and will enjoy working within a fast-paced team, and will be highly organised. You’ll also possess strong numeracy and attention to detail skills, which will be key within this role. We are looking for someone who is passionate about being a team player, who is keen to support others.
Our ideal candidate will have:- At least one year previous work experience within an office environment.
- Ability to meet deadlines and work under pressure, with the ability to communicate at all levels.
- Strong numeracy skills, experience using Word and Excel. Experience using Elite would be beneficial, although not essential as full training will be provided.
- Ability to manage a busy workload.
- Team player and enthusiastic.
