We are looking for a C&E Event Planner & Administrator for Jockey Club Experiences, based at Newmarket Racecourse.
Role Purpose
The primary objective of the role is to provide an effective liaison between the entire sales process and the end customer through effective administration and customer service techniques. The role supports and coordinates all bookings once confirmed by the reactive sales team. It includes finance responsibilities: billing clients for final payments, chasing deposits, and managing day-to-day expenditure on the CRM system. The role manages all venue show-rounds, coordinating and communicating across the venue. After show-rounds, the role proactively upsells and exceeds customer expectations. It ensures the highest standards of accurate and timely information for customers, staff, and management. The role assures all sales administration is completed effectively and accurately and provides a seamless function sheet handover to the operations team. It maximises revenue for the venue through outstanding customer service and development of client, venue, and internal relationships. The role ensures the relevant invoice and payment process at venue is adhered to accurately.
Key Responsibilities
- Own the BEO/function sheet process on venue and complete accurately and efficiently for all events.
- Capture all revenue opportunities and work to achieve confirmed business from all opportunities.
- Maintain a daily liaison plan with relevant proactive, reactive sales, and operational team members.
- Handle all correspondence received via email or telephone.
- Ensure all relevant information is entered correctly into the system for measurement of results in accordance with SOPs / Levy Signatures.
- Keep the sales team, whether onsite or in Parklands, informed of the guest experience following the event for relevant follow-up calls.
- Serve as the go-to contact at venue level for sponsors and client requests.
- Ensure the safe and secure operation of all operational activities on behalf of all stakeholders.
- Apply all legislative and venue operational procedures and standards to provide a consistent and safe service and product for all Compass employees and customers.
- Always be polite, professional and friendly with customers, clients and colleagues.
- Continuously look for opportunities to develop our service.
- Encourage continuous improvement and innovation by seeking ways to improve work activities and promote efficiencies.
- Assist colleagues willingly and positively, including with other duties as required.
- Attend all relevant training sessions and meetings.
- Promote venue facilities and maintain a positive company image.
- Manage the client online booking tool and client account/bookings with the ops team (if relevant).
Operational Excellence
- Meet legal and company requirements for fire, safety, health and hygiene.
- Report health and safety issues to the line manager, including all accidents and near misses.
- Promote good safety habits and methods of work.
- Coordinate commercial, corporate and private conferences and events.
- Attend the weekly operation meeting and hold the collation of completed work orders, floor plans, and monthly schedules for the operational C&E meeting.
- Book miscellaneous event requirements and raise purchase orders.
- Provide administrative support to the operations department, including producing signage, event menus, table plans, and place cards.
- Ensure relevant and pertinent information is provided to the accounts team in a timely manner.
- Collect deposit payments and ensure they align with new payment plans and Terms & Conditions.
