ROLE PURPOSE

The Kitchen Administrator plays a vital role in supporting the smooth and efficient operation of the Nourish kitchen at the EICC.

This position is responsible for managing administrative processes, maintaining accurate records, supporting procurement and stock control activities, processing invoices, coordinating supplier communications, and ensuring compliance documentation is up to date.

The successful candidate will be highly organised, detail-oriented, and capable of working in a fast-paced hospitality environment while supporting chefs, kitchen managers, suppliers, and the wider operations team.

KEY RESPONSIBILITIES

  • Administration & Record Management
  • Maintain accurate kitchen administration records, filing systems, and documentation.
  • Ensure all kitchen compliance paperwork is completed, filed, and stored appropriately.
  • Manage digital and paper-based records in line with company procedures.
  • Prepare reports, spreadsheets, and administrative documents as required.
  • Procurement & Purchasing Support
  • Assist with the placement and management of food, beverage, and non-food orders.
  • Liaise with suppliers regarding deliveries, shortages, pricing, and product queries.
  • Maintain purchasing records and update supplier information as required.
  • Support the kitchen management team with inventory and stock reporting.
  • Invoice Processing & Financial Administration
  • Verify delivery notes against purchase orders and invoices.
  • Process supplier invoices accurately and within agreed timescales.
  • Assist with budget tracking and cost reporting.
  • Investigate and resolve discrepancies with suppliers and internal departments.
  • Stock & Inventory Administration
  • Support stock-taking activities and maintain inventory records.
  • Monitor stock movement documentation and ensure accurate data entry.
  • Produce stock and purchasing reports for management review.
  • Assist in identifying variances and supporting corrective actions.
  • Compliance & Food Safety
  • Maintain records relating to HACCP, food safety, health and safety, and allergen management.
  • Ensure compliance documentation is complete, accurate, and audit-ready.
  • Support internal and external audits by preparing required documentation.
  • Monitor certification and training records for kitchen team members.
  • Communication & Team Support
  • Act as a key administrative point of contact for the kitchen department.
  • Coordinate communication between kitchen teams, suppliers, and other venue departments.
  • Support scheduling of meetings, training sessions, and administrative tasks.
  • Provide general administrative assistance to the Executive Chef and management team.
