This role will be supporting a small group of senior members, the Executive Assistant (EA) plays a pivotal role in enabling the effectiveness of the Client Strategy and Legal & Operations teams. This position ensures the smooth orchestration of daily operations, manages high-level administrative and strategic support, and facilitates strong communication across key stakeholders. The EA serves as a trusted gatekeeper, communicator, and coordination point for CCO priorities.
Responsibilities- Serve as the primary administrative and operational support to 3 MD's, including calendar management, travel planning, meeting coordination, and expense processing.
- Coordinate materials for high-level meetings, including the ELT touchpoints, board presentations, and internal town halls.
- Maintain confidentiality while handling sensitive information and ensure leaders are well-prepared for key engagements.
- Assist with internal communications by drafting announcements, memos, and meeting summaries aligned to priorities and partner with internal communications for reviews and sign offs.
- Foster an environment of collaboration and high performance, acting as a cultural ambassador for the Chief Client Office.
- On an ad-hoc basis, support broader Chief Client Office initiatives, in coordination and partnership with the EA team.
- Education: Bachelor’s degree or equivalent experience in Business, Communications, Marketing, or a related field preferred.
- Experience: 5+ years of experience in executive support roles, preferably within large, matrixed global organizations.
- Exceptional organizational skills and attention to detail.
- Ability to navigate complexity and prioritize effectively under pressure.
- Strong written and verbal communication skills, with the ability to create clear, executive-ready deliverables.
- High emotional intelligence, integrity, and discretion.
- Comfortable using Microsoft Office Suite, Google Workspace, and collaboration tools like Slack, Asana, or Monday.com.
- Preferred: Familiarity with marketing operations or corporate communications.
