We're looking for a proactive, highly organised, and customer-focused Office & Facilities Coordinator to join our Savoy Hill House office in London.
This is an exciting opportunity to play a key role in creating an exceptional workplace environment, ensuring our office runs smoothly and efficiently while delivering an outstanding experience for colleagues, clients, and visitors alike. As the face of the office, you'll have a varied role spanning facilities, administration, front-of-house, health & safety, and event support.
About the Role
As our Office & Facilities Coordinator, you'll be responsible for the day-to-day coordination of office operations, facilities management, and administrative support within Savoy Hill House.
Working closely with colleagues across Facilities, Professional Services, and the wider business, you'll help ensure that our workplace is professional, welcoming, safe, and efficient. Acting as the primary on-site contact for facilities and office management matters, you'll play an important role in creating an environment where our people and clients can thrive.

Hours of Work
- 30 hours per week
- Monday to Friday, 08:00am to 2:30pm
- Flexibility to work additional hours for events on a TOIL (Time Off in Lieu) basis
Your Responsibilities Will Include:
- Acting as the first point of contact for visitors, clients, contractors, and colleagues.
- Creating a welcoming and professional office environment, including meeting room set-up, hospitality, and visitor management.
- Coordinating day-to-day facilities activities, liaising with contractors, building management, and service providers.
- Managing office supplies, deliveries, post, courier services, and workplace logistics.
- Supporting meetings, events, and office-wide activities, including arranging catering and room configurations.
- Providing administrative support to partners and colleagues as required.
- Helping maintain a safe, secure, and well-functioning workplace, including supporting health and safety initiatives.
- Coordinating office maintenance issues and ensuring facilities-related tasks are completed efficiently.
- Oversight of daily contracted cleaning and checks/cleans of kitchen and toilets during core hours.
- Working closely with colleagues across the business to deliver an exceptional workplace experience.
- Supporting ad hoc projects and office improvements as required.
What We're Looking For:
- Experience in an office administration, facilities, workplace support, or customer-facing role.
- Excellent organisational skills and the ability to manage multiple priorities.
- A proactive and adaptable approach, with strong problem-solving skills.
- Outstanding customer service and communication skills.
- Confidence working independently and using your own initiative.
- Strong attention to detail and a professional, reliable approach.
- Good IT skills, including Microsoft Office applications.
- A practical, hands-on attitude and willingness to support a variety of office activities.
- Experience within a professional services or legal environment would be an advantage but is not essential.
