Are you an organised and proactive administrator looking to develop your career within a professional legal environment?
We're seeking a Legal Assistant to join our busy Real Estate team in our Bournemouth office on a 6-month fixed-term contract. This is an excellent opportunity for someone who enjoys variety in their role, thrives in a fast-paced environment and takes pride in delivering high-quality support to colleagues and clients alike.
As a valued member of the team, you'll provide essential administrative support to our fee earners, helping to ensure matters progress efficiently and clients receive an exceptional service. From managing Land Registry submissions and maintaining records to organising meetings and handling client communications, you'll play a key role in the smooth running of the department.
What you'll be doing
Your responsibilities will include:
- Assisting with file openings and maintaining accurate matter and instruction records.
- Managing incoming communications, including responding to instruction emails and handling telephone enquiries professionally.
- Scanning, filing and organising documents, correspondence and incoming post.
- Preparing and processing legal documents and Land Registry forms, including AP1, FR1 and UN1 applications.
- Obtaining documentation and information from the Land Registry and Companies House.
- Supporting the post-completion process, including submitting Land Registry applications and monitoring their progress.
- Organising meetings, diary appointments and virtual meetings via Teams and Zoom.
- Coordinating fund transfers and liaising with internal departments to meet deadlines.
- Assisting with file management, deeds scheduling and archiving.
- Providing support to other teams when required to cover holidays and absences.
What we're looking for
We're keen to hear from candidates who are highly organised, detail-oriented and capable of managing competing priorities effectively.
You'll ideally have:
- Previous administration experience, ideally within a legal or professional services environment.
- Excellent organisational and time management skills.
- Strong written and verbal communication abilities.
- Exceptional attention to detail and accuracy.
- Confidence using Microsoft Office, including Word, Excel, Outlook and PowerPoint.
- The ability to work independently whilst contributing positively to a collaborative team environment.
- A professional, discreet and client-focused approach.
- The ability to work under pressure and meet deadlines.
Experience of Land Registry processes or property-related legal administration would be advantageous, but we also welcome applications from candidates with strong administrative experience and a willingness to learn.
