We’re looking for a highly organised and proactive Executive Assistant to support members of our Executive Team in Bournemouth. This is an exciting opportunity to work closely with senior leaders across Finance, Compliance, IT, and Business Development & Marketing, playing a key role in supporting strategic operations and helping the firm run effectively day to day.
About the Role
As an Executive Assistant, you’ll provide high-level support to multiple senior stakeholders, acting as a central coordination point across several business functions. You’ll manage complex diaries, coordinate meetings and governance activities, prepare reports and presentations, and ensure priorities are effectively managed across the Executive Team. This is a varied and fast-paced role suited to someone who is confident working with senior stakeholders, highly organised, and able to manage multiple priorities with professionalism and discretion.
Your Responsibilities Will Include:
- Proactively managing complex diaries and coordinating business-critical meetings.
- Organising Board, Executive, and committee meetings, including preparing agendas and board packs.
- Taking minutes, tracking actions, and ensuring follow-ups are completed.
- Drafting correspondence, presentations, reports, and confidential documentation.
- Acting as a key point of contact for internal and external stakeholders.
- Supporting governance processes, maintaining records, logs, and key documentation.
- Assisting with financial administration, reporting packs, budgeting cycles, and KPI reporting.
- Supporting regulatory and compliance administration, including renewals and documentation management.
- Coordinating IT leadership meetings and supporting project reporting activities.
- Assisting with Executive-level business development and marketing activities, events, and presentations.
- Managing travel arrangements, inbox support, filing, and general PA duties.
- Supporting cross-functional projects and continuous improvement initiatives.
What We’re Looking For:
- Proven experience as an Executive Assistant or senior PA supporting multiple senior stakeholders.
- Experience working at Executive, Board, or senior leadership level.
- Exceptional organisational and prioritisation skills in a fast-paced environment.
- Excellent written and verbal communication skills.
- High levels of discretion, professionalism, and confidentiality.
- Strong IT skills, including Outlook, Word, Excel, and PowerPoint.
- Ability to manage changing priorities and competing deadlines effectively.
- A proactive, solutions-focused, and adaptable approach.
- Strong interpersonal skills and confidence dealing with senior stakeholders.
- Experience within a professional services or legal environment (desirable).
- Understanding of finance, compliance, or operational functions (desirable).
