We are looking for a conscientious, organised, and proactive Personal Assistant to join our Charities & Corporate team in Southampton. This is a great opportunity to play a key role in supporting fee earners, managing important administrative tasks, and helping deliver an exceptional client experience within a friendly and collaborative team.
About the Role
As a Personal Assistant, you will provide vital day-to-day support to fee earners, helping them stay organised and ensuring client matters progress smoothly. From managing files and inboxes to preparing documents, handling calls, and supporting compliance and billing, you will be central to the efficient running of the team. This role offers variety, responsibility, and a chance to build strong administrative skills within a professional legal environment.
Your Responsibilities Will Include:
- Managing daily priorities and ensuring key tasks for fee earners are completed.
- Maintaining accurate and up-to-date electronic and hard copy files.
- Monitoring incoming post and emails and flagging urgent issues during fee earner absence.
- Providing a range of administrative and secretarial support, including typing and document preparation.
- Handling client calls professionally and passing on accurate messages.
- Opening new files and completing client/matter onboarding steps.
- Assisting with compliance tasks such as conflict checks, engagement letters, AML checks, and maintaining compliance records.
- Supporting billing processes and checking draft bills for accuracy.
- Booking meeting rooms, greeting clients, and assisting with travel arrangements.
- Helping with marketing and business development activities.
What We Are Looking For
- A highly organised, conscientious individual with strong attention to detail.
- Good general education, including strong English and Maths.
- Confident IT skills across Word, Excel, PowerPoint, Outlook, and legal software.
- Good typing and keyboard skills (audio/copy typing experience beneficial).
- Professional, discreet, and comfortable working with confidential information.
- Excellent communication and time management skills.
- Able to work independently and collaboratively within a team.
- Previous legal experience is beneficial but not essential.
- Flexibility to support occasional non-routine tasks.
