We're looking for an organised and proactive Personal Assistant to join our Employment team in Bournemouth. This is an excellent opportunity to become part of a busy and highly regarded team, providing vital support to fee earners across Employment and the wider Commercial Group while helping to deliver an exceptional client experience.
About the Role
As a Personal Assistant, you'll play a key role in supporting fee earners with the day-to-day management of their matters, ensuring files are maintained accurately, compliance requirements are met, and clients receive a professional and responsive service. This is a varied role that would suit someone who enjoys working in a fast‑paced environment, has excellent organisational skills, and takes pride in delivering high‑quality support.
Your Responsibilities Will Include:
- Providing comprehensive administrative and secretarial support to the Employment team and wider Commercial Group.
- Managing and maintaining electronic and hard copy files in accordance with firm procedures.
- Monitoring fee earners' inboxes and post during periods of absence and ensuring urgent matters are addressed promptly.
- Handling client and third‑party telephone enquiries professionally and efficiently.
- Opening new files and matters, completing client onboarding processes, and ensuring compliance requirements are met.
- Undertaking and monitoring compliance activities, including conflict checks, client due diligence, sanctions checks, and costs estimates.
- Maintaining compliance records and monitoring key file review dates and actions.
- Preparing correspondence, documents, and billing guides, ensuring accuracy and attention to detail.
- Assisting with the billing process and liaising with colleagues to ensure bills are issued promptly.
- Building positive relationships with clients and supporting fee earners in delivering excellent client service.
- Organising meetings, booking meeting rooms, arranging refreshments, and welcoming clients where required.
- Coordinating travel and accommodation arrangements for fee earners.
- Supporting business development and marketing activities as directed.
What We're Looking For
- Previous experience in a PA, Legal Secretary, Administrative Assistant, or similar support role.
- Legal experience would be advantageous but is not essential.
- Excellent organisational and time management skills, with the ability to manage multiple priorities.
- Strong communication and client service skills.
- A proactive and conscientious approach with excellent attention to detail.
- Ability to work independently whilst contributing positively as part of a team.
- Strong IT skills, including Microsoft Word, Excel, Outlook, PowerPoint, and document management systems.
- Good keyboard, audio typing, and document production skills.
- Professionalism, discretion, and the ability to handle confidential information appropriately.
