As the business continues to grow, they are seeking a Purchasing & Import Administrator to join their close-knit team and play a key role in managing purchasing activities and international supply chain operations.

Reporting to the Sales Manager, the Purchasing & Import Administrator will play a key role in ensuring the smooth procurement and importation of internationally sourced materials.

This position combines purchasing administration, supplier management, and import coordination, helping to maintain uninterrupted supply to support business operations.

Key Responsibilities

  • Process raw material purchase orders accurately and efficiently within company systems.
  • Manage toll processing orders, ensuring specifications, quantities, and delivery requirements are correctly recorded.
  • Monitor and proactively chase supplier deliveries to ensure production and operational deadlines are met.
  • Coordinate the end-to-end import process for internationally sourced materials.
  • Liaise with freight forwarders, customs agents, and logistics providers to ensure smooth shipment handling.
  • Ensure import documentation and customs requirements are completed accurately and compliantly.
  • Obtain, review, and follow up on supplier quotations to secure competitive pricing and reliable supply.
  • Build and maintain strong relationships with international suppliers across multiple regions and time zones.
  • Provide cover for export and shipping activities during periods of absence within the wider team.
  • Identify and resolve supply chain, delivery, or import-related issues in a proactive and timely manner.

Skills & Experience Required

  • Previous experience in purchasing, procurement, import/export administration, supply chain, or logistics coordination.
  • Understanding of import procedures, customs documentation, shipping regulations, and international freight processes.
  • Experience working with ERP, purchasing, or inventory management systems.
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously.
  • High level of accuracy and attention to detail when processing orders and documentation.
  • Strong communication skills, with confidence engaging with suppliers, freight partners, and internal stakeholders.
  • Ability to build effective working relationships with international suppliers and partners.
  • Proactive problem-solving skills and the ability to manage delivery or supply issues effectively.
