Responsibilities

  • Provide end-to-end administrative coordination for non-promotional projects across Head Office Medical Affairs, Patient Affairs, Corporate Affairs, and other functions, including Veeva Event Management, drafting briefs, contract templates, approvals, communications, and trackers.
  • Organize HCP sponsorship for international congresses with full logistical management and regulatory-compliant documentation.
  • Coordinate documentation for national conferences attended by non-promotional teams.
  • Champion the Veeva Promomats approval process and assist in materials sourcing and reference preparation.
  • Maintain filing systems in SharePoint and manage non-promotional materials, project documentation, and trackers.
  • Support GCTS Veeva Event Manager entries, monitoring and follow-up activities.
  • Oversee electronic and physical filing, ensure retention policy compliance, and liaise with external archiving services.
  • Coordinate submissions to databases (e.g., GCTS) and manage data retention and destruction of confidential documents.
  • Assist in audits and inspections and maintain the medical affairs SharePoint and Promomats for compliance.
  • Arrange internal head office non-promotional meetings, capture minutes, and prepare reports for Medical Affairs.
  • Document reconciliation, self-inspection checks, and system validations; monitor and disseminate relevant news to Medical Affairs.
  • Obtain references from medical journals via the British Library or other platforms.

Key requirements

  • Proven administrative, coordination, or project support experience, preferably in Medical Affairs
  • Experience in a pharmaceutical, life sciences, or highly regulated environment
  • Experience managing event logistics or financial administration (grants/sponsorships)
  • Advanced proficiency in Microsoft 365 (SharePoint, Teams, Excel)
  • Familiarity with project management or compliance tools (e.g., Veeva)
  • Knowledge of industry codes (ABPI/IPHA) relevant to non-promotional activities
  • Interest in leveraging AI and digital tools for administrative efficiency
