Join us as a PA / Business Support Coordinator and become a key part of a dynamic Electronic Warfare business area. In this role, you’ll help keep a busy office running seamlessly by coordinating administrative activities and ensuring people, information, and resources are well managed. From maintaining accurate records and streamlining processes to organising meetings, events, and IT requirements, you’ll play a vital role in day-to-day operations. You’ll also provide dedicated executive support to the VP of the Business area, managing their schedules, travel, and expense claims. This is a unique opportunity to gain exposure to a fast-growing and busy area of the business and develop a strong insight of the Electronic Warfare Line of Business.
You’ll work closely with the Leadership Team, providing proactive support across a wide range of business and operational activities. Your responsibilities will include:
- Coordinating meetings and events with UK and international stakeholders, partners, and customers
- Managing conference and meeting facilities, ensuring IT systems and connectivity are fully operational
- Overseeing office resources, including procurement and maintenance of equipment, facilities, and services
- Supporting site projects and managing relationships with external suppliers and contractors
- Assisting with the implementation of policies and the creation of documents, reports, and presentations
- Organising business travel and events, including bookings and logistics
- Monitoring and replenishing office supplies as needed
- Maintaining accurate and up-to-date records, including contact lists and directories
- Supporting time recording processes, including SAP MyTime and CATTS
- Creating and maintaining Business Area intranet pages
- Supporting internal communications, including events, content updates, and briefing materials
- Collaborating with the wider business support team, providing cover and assistance where required
You’ll also provide dedicated executive support to the Vice President, including:
- Managing a complex and fast-moving diary and inbox, ensuring priorities are met
- Coordinating and facilitating meetings, including preparing agendas and attending where appropriate
- Recording actions and tracking them through to completion
- Acting as a key point of contact, handling enquiries and directing them appropriately
- Preparing high-quality briefing materials, reports, and documentation for senior engagements
- Coordinating UK and international travel, including itineraries and visa arrangements
- Managing expense claims and acting as a point of contact for related queries
- Supporting the development and coordination of functional training plans
What You'll Bring
- Proven experience in a Business Support Coordinator, Personal Assistant, or Office Manager role
- A high level of professionalism and discretion, with the confidence to engage senior stakeholders
- Strong organisational and time management skills, with the ability to manage multiple priorities
- Excellent interpersonal skills and the ability to build effective working relationships
- A collaborative, team-focused approach, with the ability to positively influence others
- A proactive mindset, with the ability to work independently and use initiative
- Strong problem-solving skills, with a focus on seeing tasks through to completion
- Confidence in prioritising and managing your own workload in a fast-paced environment
- Advanced proficiency in Microsoft Outlook
It would also be great if you had experience working with a wide range of internal and external stakeholders across different levels of seniority and Intermediate to advanced skills in Microsoft PowerPoint and SharePoint but not essential. This is not an exhaustive list, and we are keen to hear from you even if you might not have experience in all the above. The most important skill is a good attitude and willingness to learn.
Security Clearance
This role is subject to pre-employment screening in line with the UK Government’s Baseline Personnel Security Standard (BPSS). An additional range of Personnel Security Controls referred to as National Security Vetting (NSV) may apply, this could include meeting the eligibility requirements for The Security Check (SC) or Developed Vetting (DV).
