We're currently seeking an Executive Assistant for our Whitefield office. You will provide high‐quality, proactive support to senior leaders, ensuring their time is optimised and day‐to‐day operations run smoothly. You will manage complex diaries, coordinate meetings and travel, and act as a key point of contact for internal and external stakeholders. The role is well‐suited to someone highly organised, professional, and confident working in a fast‐paced environment with competing priorities.

Role requirements:
  • Proven experience as an Executive Assistant, Personal Assistant, or similar senior administrative role.
  • Strong organisational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, with a professional and confident manner.
  • High level of attention to detail and accuracy in all work.
  • Strong stakeholder management skills, with the ability to build relationships at all levels.
  • Discretion and integrity when dealing with confidential and sensitive information.
  • Advanced MS Office skills (Outlook, Word, PowerPoint, Excel) and confidence with digital collaboration tools.
  • Proactive, solution focused mindset, able to anticipate needs and resolve issues independently.
  • Comfortable working in a fast paced environment, adapting to changing priorities.
  • Positive, flexible attitude and a willingness to "roll up sleeves" to get things done.
Job responsibilities:
  • Provide comprehensive diary management, including scheduling meetings, resolving clashes, and anticipating time pressures.
  • Coordinate internal and external meetings, preparing agendas, papers, presentations, and minutes as required.
  • Act as the first point of contact for senior leaders, handling calls, emails, and enquiries with professionalism and discretion.
  • Manage inboxes on behalf of senior leaders, prioritising messages, drafting responses, and following up on actions.
  • Prepare, format, and proofread documents, reports, and presentations to a high standard.
  • Track and follow up on key actions, deadlines, and projects to ensure nothing is missed.
  • Support expense processing, invoice approvals, and basic budget tracking in line with company policies.
  • Build strong relationships with stakeholders across the business and with external partners.
  • Support the planning and coordination of team events, workshops, and offsites.
  • Maintain accurate records and filing systems (digital and hard copy) to ensure information is easy to access.
  • Undertake ad hoc administrative and project support tasks for senior leaders as required.
