As an Executive Assistant & Project Coordinator, you will provide comprehensive, efficient, and effective executive and administrative support to the Vice President UK/IE and executive support to the UK/IE Leadership Team.

Your new role

As an Executive Assistant & Project Coordinator you will autonomously and efficiently manage projects, ensuring consistency, efficiency, and best practice standards are applied in the provision of administrative support. Responsibilities will include but will not be limited to:

  • Work closely with the Vice President UK/IE to provide executive support, for example complex calendar management, meeting management etc.

  • Central coordinator and project manager for ad hoc key business projects involving all relevant stakeholders, driving business efficiencies, ensuring adherence to timelines and effective management of resources.

  • Continually seeking ways to improve processes and approaches

  • Drive and support the organisation of key meetings such as Annual All Company Conference, monthly UK/IE Leadership Team (LT) Meetings and other affiliate meetings.

  • Support the Vice President UK/IE and UK/IE LT by taking accurate actions at montlhly UK/IE LT Meetings. Participate as a highly trusted and involved member of the VPs´s team with responsibility for organizing all Business meetings, including agenda creation, action follow up etc.

  • Maintain accurate oversight of budget for Vice President UK/IE.

  • A central coordinator and link between the Vice President UK/IE and the business

This role will be based in our UK office in Maidenhead and is open to hybrid working with working from home options 2-3 days per week.

  • Substantial related experience, with proven ability of providing support at director level, including demonstrable ability to act with integrity at all times.

  • Manage multiple stakeholders and projects simultaneously

  • Ensures accountability by using time management techniques to allow responsibility to be taken for meeting strategic objectives.

  • Support on complex organisational projects, whilst managing the ambiguity associated with collaborating across the organisation and collaborating effectively.

  • Advanced knowledge of Outlook, SharePoint, PowerPoint, Word, Excel. Skilled at building slide decks would be an advantage.

  • Assertiveness – Ability to take decisions within previously agreed parameters in VPs absence and to follow up actions from UKIE LT.

  • Competency in managing relationships with key professional service suppliers.
