We are looking for a highly organised and proactive Property & Maintenance Administrator to support the effective day-to-day management of the Wingstop UK estate. This role is critical in ensuring our restaurants remain safe, compliant, and operational - minimising downtime and protecting trade. Reporting into the Estate Manager, you will work closely with the Head of Property, Operations, and wider Support Teams, acting as a central point of coordination across maintenance, compliance, and contractor management. Responsibilities:
- Proactively minimise store closures, equipment downtime, and maintenance issues that could impact trading performance.
- Report into the Estate Manager while working closely with the Head of Property, Operations Team, and wider Support Functions.
- Take responsibility for property fabric, systems, services, and equipment across the estate.
- Build and maintain strong working relationships with approved contractors to ensure high standards of service delivery.
- Promote best practice within the Property team and actively contribute to improving processes and procedures across Wingstop UK.
- Liaise with Stores and District Managers to resolve maintenance issues and support delivery of capital investment programmes.
- Oversee statutory compliance servicing and testing, ensuring suitable regimes are in place to maintain a compliant estate.
- Use the CAFM system (ProNett / Expansive) to log activity, identify trends, and support data-led maintenance decisions.
- Adopt a continuous improvement mindset, ensuring maintenance approaches evolve alongside the business and technological advances.
- Obtain supplier quotes, raise purchase orders, update cost trackers, and coordinate deliveries for new and existing sites.
- Support wider administrative activity, including organising meetings, preparing materials, and supporting internal communications.
40 hours per week
Hybrid working model: minimum of 2 days per week in the office, with occasional site visits. Flexibility required to respond to emergency calls outside normal office hours (evenings/weekends) in the event of store closures.
Qualifications:
- Proven experience in a property, facilities, or maintenance administration role.
- Experience within a multi-site environment, ideally within food & beverage, hospitality, or retail.
- Working knowledge of CAFM systems (ProNett / Access Maintain preferred).
- Good understanding of Health & Safety legislation and statutory compliance requirements.
Skills & behaviours:
- Highly organised with strong attention to detail.
- Comfortable managing multiple priorities and workstreams simultaneously.
- Clear, confident communicator able to work with a wide range of stakeholders.
- Proactive, self-motivated, and able to work both independently and as part of a team.
