An opportunity has arisen for a well‑organised and effective individual to join the busy Secretariat team in Children & Family Services Business Support Team, working to support the Department’s senior leadership team including the Director, Assistant Directors and Heads of Service.

About the Role

Working as a Senior Business Support Assistant within the Business Support Secretariat team, your main duties and responsibilities will include:

  • Arrange diary appointments and meetings for managers
  • Organising and facilitating a range of strategic meetings, including the preparation of all relevant documentation and taking accurate minutes
  • Receive and deal with emails via multiple busy inboxes, taking telephone calls and ensuring that visitors to the section are dealt with appropriately
  • To be the first point of contact for enquiries from schools, partners, voluntary and community organisations, agencies and members of the public
  • To be responsible for providing a comprehensive range of administrative and secretarial support for Officers working within the service, utilising good organisational skills
  • To create, develop and maintain information systems and processes including Microsoft Office packages to produce reports to assist services and officers across the department.

The role is part of the wider Business Support Service, and as such, an important part of this role is to provide backup to colleagues across service areas and to assist in handling urgent work on a day‑to‑day basis. You must also respect the confidential nature of the work in line with the Data Protection Act.

About You

To apply for this post, you must respond to and evidence the following 7 essential criteria within your personal statement

  • Have an NVQ level 2 or equivalent in literacy and numeracy, and be trained and proficient in all aspects of the Microsoft Office Suite of software
  • Have experience in diary management and facilitating meetings
  • Have the ability to take accurate notes of meetings and type drafts for approval
  • Have experience in a range of admin procedures
  • Have relevant experience of working within a busy office environment and have an understanding and appreciation of confidentiality
  • Have good organisational and record‑keeping skills and the ability to establish and maintain working relationships and communicate effectively with staff at all levels
  • Be able to work effectively and efficiently whilst under pressure.
