Responsibilities

As a member of Children and Family Services you will be required to ensure the development of high quality financial and administrative support and systems.

The successful candidate will provide day‑to‑day responsibility supporting the Children and Family Services Directorate, giving the Director, Assistant Directors, and other managers confidential, comprehensive and professional Personal Assistant support. This includes liaising with staff at all levels internally, externally and across partner organisations.

The role will entail managing electronic diary systems, arranging appointments, meetings, travel arrangements and events; receiving visitors and responding to and screening telephone calls, emails and other enquiries to provide a high level of customer care.

The role will suit someone with previous experience as a PA who can work in a demanding environment, remaining flexible and responsible for managing a high volume of tasks, including prioritisation, delegation and responding as necessary.

Qualifications

  • Good standard of education, including English and Mathematics at GCSE Grade 9-4, NVQ Level 3 in Business Administration (or equivalent)
  • Experience in answering general routine correspondence on behalf of senior managers with proven significant experience providing high level PA support to Senior Managers
  • Experience of working within a busy office environment, including administering and minuting meetings with fast, accurate typing and strong documentation production skills
  • Excellent IT skills, including Microsoft Word, Excel, Teams and PowerPoint
  • Excellent organisational and planning skills, including a high level of interpersonal and communication skills, both verbal and written, and the ability to take clear messages and maintain up‑to‑date accurate records
  • Flexible approach and ability to work under pressure, dealing with changing deadlines and quantities of work
  • Ability to prioritise own workload and use initiative to work to deadlines without close supervision
