We are looking for an experienced, enthusiastic, friendly and approachable Medical Secretary to join our team at Leicester Terrace HealthCare Centre on a fixed term contract. As a Medical Secretary, you will be responsible for dealing with patients face to face and over the telephone, and you will also speak to other stakeholders such as Hospital Doctors, Secretaries and Mental Health Teams.
The ideal candidate will have excellent communication skills, be IT literate and have the ability to work under pressure. Previous experience as a Medical Secretary would be advantageous.
Hours of work: 09:00 - 17:00 three days a week, one of which will include a Friday. You will also be required to cover holidays and sickness within the medical secretary team.
Main duties of the job
We are seeking an organised and professional GP Medical Secretary to provide comprehensive administrative and secretarial support to our GPs and clinical team. The role includes:
- Managing patient referrals through NHS e-Referrals Service (e-RS) and other pathways.
- Maintaining accurate patient records.
- Liaising with hospitals and external healthcare providers.
- Supporting the wider administrative team to ensure the smooth running of the practice.
You will work as part of a team in handling a variety of queries received via post, email or telephone from patients and clinicians. Our clinical system is SystmOne and whilst it is preferred to have experience of this, training can be provided as long as you are competent in typing and have adequate computer knowledge.

Purpose of the Role
To provide accurate and efficient secretarial and administrative support to GPs and clinicians, ensuring that patient referrals, communication, and record-keeping are managed in accordance with NHS standards, data protection legislation, and practice policies.
Key Responsibilities
- Prepare, process, and manage all patient referrals through the NHS e-Referrals Service (e-RS) and other relevant pathways.
- Provide high-quality secretarial and administrative support to GPs and clinicians, including drafting letters, managing correspondence, and preparing clinical documentation.
- Liaise effectively with hospitals, consultants, and other external healthcare providers to ensure timely and accurate communication.
- Maintain accurate and up-to-date patient records, ensuring compliance with NHS standards, data protection, and confidentiality.
- Support the administrative team with day-to-day tasks, contributing to smooth workflow and team efficiency.
- Prioritise workload and manage multiple tasks to meet deadlines in a busy primary care environment.
- Uphold practice policies and procedures relating to confidentiality, health and safety, and equality and diversity.
