The Marketing & Operations Specialist, EMEA is a highly execution-focused role responsible for ensuring strong operational delivery across the EMEA Regional Marketing Team. This position acts as the core coordination and administration engine for regional marketing execution, enabling Regional Marketing Managers to focus on strategic growth initiatives, market activation, and key stakeholder engagement. The role requires a structured, detail-oriented professional who can manage multiple priorities under pressure, follow established processes, meet deadlines consistently, and provide accurate reporting on marketing operational activities—especially event logistics and financial tracking.
- Marketing Operations & Process Coordination: Act as the execution backbone for the EMEA Regional Marketing Team by coordinating timelines, deliverables, trackers, and follow-through across recurring activities. Maintain operational structure through clear documentation, templates, and process hygiene.
- Event / Webinar / Tradeshow Execution Support: Coordinate end-to-end administration and logistics for regional tradeshows, customer events, and webinars (vendors, shipping, readiness checklists, onsite requirements as needed). Ensure consistent, brand-compliant and customer-ready execution across EMEA.
- Budget, Procurement & Financial Reporting: Manage operational financial coordination including PO tracking, invoice follow-up, vendor documentation, and budget monitoring. Work within internal procurement/finance workflows using tools such as ORO, iBuy, and SAP.
- Asset Coordination & Marketing Material Readiness: Coordinate creation, formatting, and deployment readiness of event and campaign materials (presentations, brochures, booth assets, toolkits) in alignment with brand standards.
- Demand Generation & Lead Follow-up Enablement: Support demand generation execution through coordination of pre/post-event communications and lead capture readiness. Enable timely lead handover processes to Sales / Lead Qualification stakeholders to support funnel tracking.
Must-Have Requirements:
- Experienced in B2B marketing operations / marketing coordination / event & webinar execution / project coordination.
- Experience in a Healthcare / MedTech / Diagnostics / Life Sciences environment (regulated, customer-facing, matrix stakeholders).
- Proven ability to manage high-volume execution and administrative workload with accuracy and speed.
- Strong track record of meeting deadlines, coordinating stakeholders, and delivering under pressure.
- Experience supporting financial/admin workflows, including budget tracking, PO coordination and invoice follow-up.
- High proficiency in PowerPoint (formatting quality + speed) and Excel (trackers, reporting, comparisons).
- Fluency in English (written and verbal).
Strong Advantage (Nice-to-Have):
- Hands-on experience with procurement/finance tools such as ORO, iBuy, SAP (or equivalent systems).
- Familiarity with CRM / lead processes (e.g., Salesforce) and the basics of lead capture and follow-up.
- Experience supporting demand generation execution through event/webinar readiness and post-event handover processes.
- Additional European language(s).
