About The Role

An exciting opportunity has become available to join the Events team at Vaillant Live! The Events Manager is responsible for planning and delivering events by liaising with tour reps and event organisers to ensure their event is delivered in a coordinated and safe manner.

Key Responsibilities

  • Oversee the provision of a high-quality environment for various events.
  • Provide promoters and event organisers with venue information, advice, and manage the client through the event planning process to event delivery.
  • Create on-sale plans and develop room layout designs as per the client’s requirements.
  • Ensure venue checks are complete, and the venue is kept as safe as possible for customers and guests.
  • Direct liaison with the Promoter Rep / Event Organiser assisting with any issues back of house.
  • Work with the Event Organiser to provide solutions and compromise to queries.
  • Book appropriate levels of staff for events both internally and via contractors.
  • Produce detailed event information for circulation to relevant parties and answer any further event queries.
  • Attend event meetings and brief teams on upcoming events.
  • Work with the Operations Team and the wider ASM Global community to ensure processes and procedures governing all aspects of events management are up to date, relevant, and enacted.
  • Produce costings for upcoming events and forecasts.
  • Monitor event expenditure against forecast.
  • Ensure clients are aware of the costs and recharges associated with their event.
  • Provide input for the annual department budget.

Skills And Experience

  • Minimum of 2 years in the events industry or transferable skills from a similar role - Essential.
  • Previous experience in crowd management - Essential.
  • Previous experience of managing a wide variety of event types, including live music and conferences - Essential.
  • Working knowledge of live event logistics (staging, power, rigging) - Essential.
  • Ability to build good working relationships with team members, clients, contractors, and visiting production teams.
  • IOSH certificate is preferable.
  • Practical experience in writing risk assessments and safety documentation.
  • Competent in the use of Microsoft Office with extra emphasis on Excel.
  • Ability to interpret CAD drawings and use of CAD software is preferable.
  • Ability to work well under pressure, manage time effectively, and prioritise workload to meet strict deadlines.
  • Self-motivated and disciplined in time management.
