Qualifications
- Previous experience as a legal secretary, preferably in Residential Conveyancing (other legal secretarial experience also considered)
- Excellent interpersonal skills and clear written and oral communication
- Proven digital audio typing experience
- Excellent organisational skills
- Ability to communicate effectively with a wide range of people
- Courteous, helpful and pleasant manner in person and on the phone
- Efficiency, reliability and flexibility, able to organise workload to meet challenging/changing deadlines
- Self‑motivation and ability to work independently or within a team
- Proven IT skills, including the use of case management systems, MS Word, Outlook and Excel
- Personal pride in the quality of work, delivering to a high standard within required timeframes
Responsibilities
- Production of documents and correspondence using audio/copy typing
- Use of standard template documents in Residential Conveyancing such as Sales, Purchases, Leasehold and Freehold Properties, Remortgages, Transfers of Equity, etc.
- Costing files on a monthly basis and preparing draft bills, ensuring disbursements are claimed and paid
- Attending to clients and others, both on telephone and in person, dealing with initial enquiries or taking detailed messages
- Management of Fee Earners’ diaries, scheduling appointments, arranging meetings, organising travel, booking meeting rooms and refreshments
- Setting up new files accurately and swiftly on instruction
- Maintaining Fee Earners’ client details on the firm’s database (ALB) and updating as required
- Managing filing and storage/retrieval of client files
- Dealing with Land Registry
- Ensuring files are Lexcel compliant, managing money‑laundering checks and keeping associated records
- Providing secretarial support within the department, supporting other Fee Earners and secretarial staff as appropriate
- Awareness of GDPR and handling sensitive information with confidentiality and security
- Undertaking any other ad hoc duties as requested by professional staff in the department
- Supporting firm‑wide and departmental marketing events as required
