Our client is a well-established law firm and on their behalf we are seeking a Central Operations Assistant to support the smooth day-to-day running of its operations. This varied and hands-on role includes front-of-house, administrative, logistical, and organisational responsibilities, working closely with the wider operations and legal teams across multiple offices. The Central Operations Assistant plays an important role in ensuring that business operations run efficiently and that legal teams have the support needed to deliver an excellent standard of client service. Key Responsibilities

  • Administrative Support
  • Acting as the first point of response for day-to-day IT, facilities, and general office support
  • Providing immediate problem-solving support for office facilities (e.g. phones, photocopiers, and general equipment)
  • Supporting onboarding processes and assisting with new starter inductions
  • Providing front-of-house and reception cover when required
  • Assisting legal teams with invoicing, client matters, diary management, and file administration
  • Supporting the New Enquiries team with data entry, file opening, and capturing marketing permissions
  • Offering support to other Operations team members as needed
  • Handling client telephone calls, correspondence, dictation, scanning, printing, filing, and general administration tasks
  • Contributing to audits, compliance checks, and wider operational procedures
  • Facilities and Building Management
    • Liaising with IT support, suppliers, and external contractors
    • Acting as a point of contact for building maintenance and facilities issues
    • Assisting with the preparation and setup of internal events and conferences
    • Supporting Health and Safety procedures in collaboration with the Operations Manager
  • Other Responsibilities
    • Working in line with confidentiality and GDPR requirements at all times
    • Undertaking additional duties as directed by the Operations Manager
    • Promoting and demonstrating the firm’s core values in all aspects of work

    Person Specification

    Essential Criteria

    • Friendly and approachable with confident communication skills
    • Experience working within a client-facing and/or customer-focused environment
    • Proven administrative and/or secretarial experience, including use of IT systems such as Outlook, Word, and Excel
    • Organised, detail-oriented, and proactive with strong communication skills
    • Able to prioritise workload effectively and remain flexible
    • A supportive and adaptable team player
    • IT skills appropriate to the role (including Outlook, Microsoft Office, and Teams)
    • Familiarity with administrative systems and an understanding of the importance of client service within a service-based environment

    Desirable Criteria

    • Level 2 qualification (or equivalent), including Maths and English
    • Previous experience within a law firm or professional services environment
    • Knowledge of legal terminology or legal processes
    • Ability to adapt quickly to new technology
    • Experience handling sensitive information
    • Previous experience of problem solving, decision-making, and identifying process improvements
