Main duties of the job:
- Working as part of our friendly and efficient Business, Management and Administration Team within Medical Physics & Clinical Engineering, the Office Supervisor & PA supports the Head of Department.
- The successful candidate will provide high‑quality administrative and organisational support to effectively deliver services, working closely with the Head of Department and other Senior Managers.
Key duties include:
- Secretarial and PA activities.
- Developing, maintaining and managing office and information systems in support of the Department.
- Preparing and distributing agenda and minutes.
- Organising follow‑up actions.
- Supervising a secretarial team.
Job responsibilities:
- Excellent organisational skills with the ability to work independently and as part of a team.
- Effective supervisory skills, be highly motivated and lead by example to motivate other team members.
- Prioritise own workload and, where appropriate, that of the team.
- Able to manage a variety of tasks with competing deadlines.
- Highly developed interpersonal skills with confidentiality and to communicate clearly at all levels.
- Exercise judgement when dealing with enquiries, escalating appropriate issues.
- Appropriate typing/IT qualification or equivalent.
- Support and sustain the department’s practices with efficient administrative protocols, processes and procedures.
- Have an excellent knowledge of supervisory/PA role.
- Be aware of the Trust’s policies and procedures including Recruitment and Selection, Conduct and Discipline, Annual Leave, Confidentiality.
Qualifications:
- Relevant organisational and supervisory experience.
