This role is responsible for supporting the daily management of Inventory stock within LGI Theatres, including the supervision of the receipt and distribution process, replenishment of stocks at their point of use and reviewing the movement of goods and handling supply chain issues for a busy Theatre department in line with the Procurement and Supply Chain Strategy. To assist the lead on required inventory systems using specialist storage projects ensuring that all catalogue and non-catalogue stock is managed in line with the departments requirements. To line-manage a team of 8 Materials Management Assistants. Reporting into the Specialist Inventory Supply Chain Manager. Mon-Fri between 07.00am-3.30pm, 37.5 hrs/wk on site at LGI.

Main duties of the job

  • Line Manage all materials management staff across wards and within theatres at the Leeds General Infirmary.
  • Assist on managing both Supply X and Oracle requisitioning on behalf of the Theatres and Anaesthetics Clinical Service Unit.
  • Supervise a team of 8 Materials Management Assistants, reporting into an Inventory Supply Chain Manager.
  • Support on appraisal, 1:1s and reviews, absence management and Health & Safety requirements for your areas.
  • Support on attendance management and strive to look after the health & wellbeing of your team, this may include carrying out individual & team stress risk assessments and occupational health reports where required, or signposting to an appropriate support network.

Materials Management is the service providing medical equipment and supplies direct towards theatres and therefore everything we do has the patient at the centre. There is a strong team requirement, and you will not only work alongside your Materials Management colleagues, but also clinical colleagues in the Theatres setting, building a rapport with Ward Managers. This may often require diplomacy and conflict & resolution skills. Supplies forms part of the Procurement department (a group made up of over 150 individuals). We all ultimately report into the Director of Commercial & Procurement. Procurement sits under 'Finance' in the greater Trust, which includes a further 300+ colleagues. Our department strives to put each and every colleague's health & wellbeing at the forefront. Job responsibilities

  • Under the direction of the Assistant Supply Chain Manager, to be responsible for the supervision of staff who provide the Supplies Materials Management service throughout Leeds Teaching Hospitals.
  • Ensure that the Trust's procurement is undertaken in accordance with the organisations Best Practice and Financial Standing Instructions.
  • Provide a Materials Management/Storekeeper service to a designated number of Wards, Theatres and Departments.
  • Ensure stock/deliveries are receipted/maintained at the appropriate level using handheld data capture devices, and the receipting and putting away of stock to agreed standards.
  • Provide a comprehensive interface for customers who receive a Materials Management service.
  • Supervise and manage the administrative support required for each of the Supplies IT Systems.
  • The position forms part of a team up to seven Whole Time Equivalents (WTE), providing a Materials Management and Stores service for a range of medical and non-medical goods.
  • Participate in meetings with clinical staff, for regular reviews and to supply urgent medical products/data, when required.
  • Identify the needs of the organisation and working within the guidelines of the Trust's Standing Financial Instructions.
  • Manage the day to day functions associated with the Trust's computerised inventory control systems and assist in the development of new technology.
  • Liaise with suppliers to encourage them to meet organisational purchasing needs and persuade customers to adopt the most efficient, cost effective and value for money supply route.
  • Ensure that the stock is purchased against the re-order level reports to agreed quality standards.
  • Responsible for the security of goods during the receipting process and the putting away of stock to agreed locations in accordance with agreed standards.
  • Resolve stock issues, including stock deficiencies and prioritise urgent deliveries.

Person Specification

  • Understanding of supply chain procedures and supplies audit trails and the variety of provisioning methodologies available.
  • Understanding of the Materials Management/Inventory Management process, its value and how the service is delivered to provide value for money.
  • The ability to supervise staff and to work as both a team member and alone within clearly defined procedures.
  • Experience of working within a Materials Management and Stores department, ideally within a customer facing service environment.
  • Understanding of the receipting process and Materials Management theory, including stock control, delivery, ordering/invoicing options and Customer Care.
  • Ability to recognise the issues which influence the management of the total Supply Chain.

Qualifications

  • Basic computer skills (hand-held computer technology, mainframe computer technology, PC packages).
  • CIPS Foundation Stage.
  • COSHH, Risk Assessment, Health & Safety, Moving and Handling.
  • Demonstrates evidence of continual development and training, particularly working towards relevant NVQs and CIPS is desirable.
