This role provides a high standard of administrative support to the Spinal Surgery Department. To undertake a range of clerical and administrative duties which will include receiving and checking documentation, reports and patient information, processing appropriately within departmental guidelines, entering information onto the appropriate IT system and retrieving information as and when required, and arranging clinical appointments for patients among other duties. To provide the Patient Services Coordinators, consultants, and clinical teams with administrative support. To demonstrate excellent customer service to patients, relatives, carers, colleagues, and external organisations. To have initiative compatible to the role and always maintain confidentiality.
Main duties of the job:
- Use the Patient Administration System as required.
- Politely and efficiently receive telephone enquiries from patients, carers, and external agencies in relation to hospital appointments, admissions and general enquiries.
- Support patient service coordinators, clinicians, and management in service delivery.
- To ensure proper use of the office equipment e.g. photocopier, printer, laminator etc.
- To work as an effective team member within the patient services team.

Principal duties and areas of responsibility:
- Typing/proofreading clinical correspondence relating to outpatient and inpatient attendances and other patient related correspondence on behalf of the consultant and clinical teams.
- Use a range of IT skills to support the clinical work of the consultant e.g. use of databases and spreadsheets to monitor waiting lists.
- Support administrative process as deemed appropriate by the PSC.
- To provide a full clerical support service to the Department including organising, sorting, and filing documents and papers; dealing with incoming and outgoing paper and electronic post as required.
- Answer phone calls and deal with enquiries relating to patients and clinical work from a variety of sources, directly resolving where possible or transferring to appropriate personnel.
- Liaise with GPs and other hospital staff to provide the best patient care.
Person Specification:
- Experience of dealing with the public.
- Competent keyboard skills to maintain a high quality, accurate and efficient service (keyboard/data entry).
- Experience of working in a team.
- Appropriate NHS experience.
- PAS/EPRO/PPM+ knowledge / experience.
