To contribute to creating and maintaining an effective office administrative support service through providing general office administration for the academy.
Duties and Responsibilities:
- Be responsible for opening the reception and ensure the switchboard is operated from 7.45 am each morning.
- Act as the first point of contact for parents and visitors providing a courteous, professional, calm, and friendly service.
- Retrieve telephone messages/emails and deal with telephone enquiries.
- Liaise with students/staff/visitors on a daily basis.
- Sign visitors and contractors in and out and ensure compliance with LEA visitor safeguarding protocols.
- Provide excellent customer service to parents, colleagues, and visitors to the academy.
- Ensure incoming and outgoing mail is organised daily.
- Sign for and take delivery of parcels keeping an accurate record of deliveries.
- Keep an accurate record of all visitors to the academy including scheduled meetings and key academy visitors.
- Provide student reception support during the start of the academy day.
- Be a First Aider and support the First Aid rota.
- Manage first aid resources.
- Undertake routine administrative tasks, including managing the academy’s reprographic function, maintaining stock levels, and completing reprographics printing requests.
- Maintain manual and computerised records/management information systems.
- Record keeping, data input, and retrieval.
- Undertake typing, word-processing, and other IT-based tasks.
- Use Microsoft Office and Databases effectively to deliver administrative tasks.
- Communicate effectively with customers and colleagues in relation to work undertaken.
- Work with others to help improve work organisation and effectiveness.
- Ensure the franking machine is maintained.
- Undertake general office duties as required.
- Book meeting rooms.
- Book taxis, updating taxi bookings and transport log.
- Support the administration team with daily tasks.
- Provide hospitality to visitors on arrival if required.
- Manage stationery, carry out stock take, and reorder for the Admin department.
Other duties:
- Carry out morning, break, lunch, and after school duties as required by the leadership team.
- Carry out any other duties as directed by the Principal.
- Work with others to help improve work organisation and effectiveness.
