About You

As a Workshop Supervisor you will bring to the role:

  • Ability to manage, motivate and direct supervised staff to ensure behaviour and performance is to a high standard and work targets are achieved.
  • Ability to monitor vehicle maintenance systems for the service, identifying areas for improvement and developing systems accordingly.
  • Knowledge of compliance requirements in relation to all statutory and regulatory guidelines for a vehicle maintenance workshop
  • Experience of determining and controlling in-house work, warranty, and subcontract work, to minimise vehicle downtime whilst remaining within financial constraints.
  • Experience of supervising staff and dealing with daily operational and staffing related matters including performance and attendance management
  • Experience of planning and scheduling workloads, job allocation and staff deployment
  • Experience of finding solutions to complex issues whilst balancing the conflicting demands of a customer focused operation.

Role overview

Fleet Services are responsible for the essential maintenance and repair of the corporate vehicle fleet, currently over 1,200 vehicles. This role will support the safe management of the vehicle fleet, increase efficiencies within the service and support the future delivery of a sustainable operating model. Based at Torre Road Depot (Leeds 9), the successful candidate will join this small but busy service to support the fleet requirements for the whole authority.

Our successful candidate will manage the day-to-day running of the vehicle maintenance operation, operated by assistant supervisors and technicians across the 4×4, day and night shifts. The post holder will have primary responsibility over the 4×4 and Day Shift and as such will work a 4 days on, 4 days off shift pattern but will be required to work flexibly to meet service needs across other shifts. This role will lead in relation to key areas such as staff supervision, job allocation, progress tracking, identifying and resolving issues to ensure efficiency and productivity is always maintained to a high standard.

The post holder will ensure the team adhere to fleet maintenance and repair policies and procedures, providing an efficient and cost-effective maintenance system which supports the business objectives and service schedule designated. That all vehicles are maintained in line with Operator Licence obligations, with key documentation completed, in line with DVSA standards.

Job Description

Job Purpose: To manage the day to day running of the vehicle maintenance operation, operated by supervisors and technicians across the 4×4, day and night shifts. The post holder will have primary responsibility over either the 4×4 and Day shift or the Evening shift but will be required to work flexibly to meet service needs as required across the other shifts. This role will lead in relation to key areas such as staff supervision, job allocation, progress, tracking, identifying and resolving issues to ensure efficiency and productivity is always maintained to a high standard.

The post holder will ensure the team adhere to fleet maintenance and repair policies and procedures, providing an efficient and cost-effective maintenance system which supports the business objectives and service schedule designated. That all vehicles are maintained in line with Operator Licence obligations, with key documentation completed, in line with DVSA standards.

Responsibilities for Grade

  • The day-to-day supervision of vehicle maintenance activities, workshop operations and associated staff operating shift patterns and standby rotas both out stationed, and workshop based. This includes the recruitment and selection, development/training of staff, dealing with employment related matters such as attendance/wellbeing, disciplinary and grievance issues, maintaining LCC Code of Conduct standards and Values, and the managing and of work, tracking returns and monitoring performance.
  • To have primary responsible for a particular shift but to work flexibly to cover as required to achieve service objectives and support the targets of the business in relation to the vehicle fleet and to meet the exigencies of the service.
  • To work with senior leaders within the business to identify and resolve areas of risk to protect the reputation and O Licence of the authority and by ensuring compliance with all statutory and regulatory guidelines as they pertain to the service, the workshop, the workforce,
  • Ensure compliance with the services safety inspection regime for vehicle maintenance, identifying and escalating any concerns which may arise as a priority.
  • To provide expert advice on all aspects of vehicle maintenance to maximise workshop productivity and to provide practical solutions and advice to technicians on shop floor, using a proactive and problem-solving approach.
  • Responsible for the collation, analysis, and provision of accurate KPI data in relation to progress made during on-shift days, ensuring all parties are clear on performance, target areas and business pressures to aid effective handovers and update reporting to senior managers.
  • To oversee, track, monitor and plan workshop scheduling and staff deployment including overtime, agency staff and key equipment to ensure best use of available facilities and resources, to always achieve high performance and best value.
  • Liaison with external contractors and suppliers to both ensure warranty and sub contract work is initiated and carried out in the most cost effective manner to maximise vehicle uptime and to resolve repair related problems and issues.
  • To be responsible, in conjunction with the workshop manager and workshop fleet manager, for all health and safety matters that apply to the vehicle maintenance operation
  • To maintain standards within the workshop and in relation to staff behaviour to ensure that health and safety standards are not compromised, and relevant health, safety, QA, and behavioural procedures are always adhered to.
  • To manage all QA procedures, EMAS and ROSPA requirements as they pertain to the workshop, ensuring all staff comply with these and all work-related documentation is correctly completed, submitted, and authorised.
  • To take on shift responsibility for the monitoring and control of workshop security.
  • To assist in the identification and delivery of training needs, the achievement of personal development plans and with the onsite training requirements to ensure the workforce is well trained, effective, and aware of key areas. Including the delivery of toolbox talks to ensure key information is communicated and recorded.
  • To jointly develop and embed strategies to increase productivity and reduce costs within agreed service standard frameworks with assessments of success and future areas of development gathered, summarised, and reported.
  • To develop and maintain positive working relationships with service managers and staff including with internal/ external customers to ensure satisfactory service provision in relation to the maintenance of vehicles and customer experience of Fleet Services, taking remedial action, as necessary.
  • Effectively use technology to deliver an efficient and effective fleet maintenance service, with a progressive and supportive approach to new digital developments.
  • To contribute to continuous service improvements and to contribute to improvements within the department and the Authority.
  • To be a Quality, Environmental and Health & Safety auditor and undertake audits as requested and in line with the services schedule to support continuous compliance and service development.
  • To participate in appraisal, training, and development activities as necessary to ensure up to date knowledge and skills
  • To improve own practice through observation, evaluation, discussion with colleagues and appropriate CPD programmes.
  • To work collaboratively with colleagues, knowing when to seek help and advice.
  • Contribute to the overall ethos, work, and aims of the service by attending relevant meetings, training days/events as requested.
  • Be aware of and comply with Leeds City Council policies and procedures e.g. child protection, health and safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person
