The Compliance & Building Safety Business Support co-ordinator provides administrative, coordination, and operational support to the Compliance and Building Safety functions within Property Services.
The role supports the effective management of statutory compliance, building safety activities, contractor administration, resident communication, and regulatory record keeping across the housing stock managed by Leathermarket JMB.
The postholder will play a key role in ensuring compliance and building safety information is accurate, organised, accessible, and appropriately recorded to support operational delivery, governance, and assurance activities.
The role is not responsible for managing statutory compliance programmes or building safety risks directly but provides essential business and administrative support to assist the organisation in meeting its operational and regulatory responsibilities.
Key Responsibilities (these may change in-line with JMB priorities)
- Administrative Support β Compliance & Building Safety
- Provide day-to-day administrative support to the Compliance and Building Safety teams.
- Maintain organised and accurate electronic and manual filing systems.
- Ensure compliance certificates, inspection records, reports, and contractor documentation are uploaded, filed, and stored correctly.
- Support the coordination of meetings, inspections, contractor visits, and resident appointments.
- Assist with diary management and scheduling activities for the team.
- Data Management & Record Keeping
- Support the maintenance of compliance and building safety databases and systems.
- Input and update records relating to:
- Gas safety
- Electrical safety
- Fire safety
- Asbestos
- Water hygiene
- Lift servicing
- Building safety actions
- Assist with validating data and identifying missing information or overdue documentation.
- Support document control and ensure records remain current and audit-ready.
- Assist with producing routine compliance reports, trackers, and spreadsheets.
- Contractor & Resident Coordination
- Liaise with contractors to arrange inspections, appointments, and access visits.
- Monitor receipt of certification and completion paperwork from contractors.
- Raise follow-up actions for missing documentation or overdue works.
- Contact residents regarding:
- Access appointments
- Compliance inspections
- Safety works
- Resident meetings
- Ensure communication is clear, professional, and resident focused.
- Meeting & Governance Support
- Support preparation of:
- Compliance reports
- Board papers
- Resident communications
- Meeting packs
- Dashboards and trackers
- Take minutes and record actions at meetings where required.
- Monitor and update action trackers to ensure actions are progressed and completed.
- Assist with audit preparation and information requests.
- Building Safety & Resident Engagement Support
- Support administration associated with resident engagement activities and building safety communication.
- Assist with organising:
- Resident meetings
- TRA meetings
- Safety forums
- Consultation activities
- Issue letters, notices, and communications relating to compliance and building safety activities.
- Support the maintenance of resident contact records and engagement logs.
- General Business Support
- Support procurement and ordering processes where required.
- Assist with raising purchase orders and processing invoices.
- Support general office administration within Property Services.
- Assist operational teams during emergency situations or urgent service delivery issues where required.
- Contribute to continuous improvement of systems, processes, and administrative practices.
