An opportunity has arisen for an experienced and highly organised PA/Office Manager to take on a central and trusted role within a small professional legal firm! The work combines personal assistant duties, office management, and regulatory coordination, requiring discretion and sound judgement.
Duties for this role include, but are not limited to:
- Provide comprehensive personal assistant support to the sole partner, including diary management, correspondence, and prioritisation of workload.
- Act as a key point of contact for clients, maintaining a professional, discreet, and confidential approach at all times.
- Manage the efficient day-to-day running of the office, including administration, suppliers, and internal processes.
- Support general financial administration, including billing support and time recording where required.
- Manage and maintain client AML and KYC records, ensuring compliance with regulatory requirements and internal standards.
- Oversee client databases, document management, and filing systems to ensure accuracy and accessibility.
- Use and manage Microsoft Office, OneDrive, and other proprietary software packages effectively.
- Support the firm's compliance obligations relevant to private client, trusts, and corporate legal work.
- Lead and coordinate the firm's transition to the Guernsey Greffe digital submission process during 2026, ensuring readiness, procedural updates, and compliance.
- Act as an internal point of contact for process change and implementation relating to digital submissions.
Skills / Qualifications
The ideal candidate will have a wide range of secretarial or PA experience, ideally gained within a professional services or legal environment. Excellent organisational skills, strong attention to detail, and confident written and verbal communication are essential, alongside strong IT capability, particularly with Microsoft Office. Experience of AML / KYC requirements, familiarity with Guernsey legal or regulatory processes, and exposure to private client, trusts, corporate, or commercial law work would be highly desirable.
