Duties for this role include, but are not limited to:

  • Manage a portfolio of crewing clients, ensuring accurate and timely delivery of crew employment and payroll services.
  • Oversee day-to-day crew administration, including maintenance of crew and vessel records.
  • Draft and finalise crew employment contracts and associated documentation.
  • Liaise with internal teams to ensure smooth and timely payment of crew wages.
  • Ensure compliance with Flag State and STCW requirements, including qualification monitoring and certification tracking.
  • Prepare reports, crew matrices, and supporting documentation as required.
  • Coordinate crew travel and support visa and flag state documentation processes.
  • Review, check, and approve team work and payroll outputs, supporting quality control.
  • Assist the Crewing Manager with technical queries, team oversight, and cover during absences.
  • Support crew-related projects and liaise with finance teams on crewing accounts and payments.
  • Build and maintain strong client relationships, including travel to meet clients where required.

Skills / Qualifications

The ideal candidate will have relevant industry-specific crewing experience, or strong transferable skills gained within HR or a marine industry environment. You will have at least 3 years' experience in a senior crewing administration role, a solid understanding of seafarer employment and payroll processes, be highly organised, and comfortable managing deadlines in a fast-paced setting. This role suits someone who enjoys taking ownership, supporting team development, and delivering consistently high standards of service.
