Private PA – UHNW Family Kensington (Primarily Office Based West End)

As a Private PA, working with the Executive Assistant, you’ll be part of a close-knit team providing a core linchpin to the smooth running of the family’s private lives. You’ll support the effective day-to-day administration and coordination, as well as assist with the management of the Family’s Household team and private residence. Your role will involve coordinating, streamlining, and delivering on the priorities of the Principal while upholding the family’s values and principles. Given the sensitivity of the information you’ll handle, discretion and confidentiality must be at the forefront of your mind.

Key Responsibilities

  1. Support the coordination and planning of home maintenance at the Principals’ residences, attending on-site as required.
  2. Manage utility bills, family vehicles, and other household day-to-day requirements for all properties.
  3. Research and purchase household items for the family as requested.
  4. Support the recruitment of household staff, ensuring their skill sets align with the requirements of the roles and the family’s principles.
  5. Assist with household accounts and budgets.
  6. Assist with the management of house staff, including rota management.
  7. Manage travel for the Principals and their family members, including arranging private and corporate travel worldwide.
  8. Prepare comprehensive itineraries, flights, hotel bookings, and manage private plane logistics.
  9. Maintain travel records and ensure passports and other travel documents are up to date.
  10. Manage the Principal’s diaries, ensuring all appointments are reflected in Outlook calendars.
  11. Implement and maintain an efficient filing system.
  12. Review, proofread, and edit documents for signature.
  13. Professionally respond to worldwide affiliated offices and internal queries.
  14. Support administrative work for the Principals’ children, liaising with schools and medical consultations.
  15. Undertake ad hoc personal errands for the Principals.
  16. Act as the first point of contact, managing incoming communication promptly and professionally.
  17. Build and maintain effective, professional relationships with all contacts of the Principals.
  18. Coordinate and organise events to a high standard within defined budgets and timescales.
  19. Undertake other duties as required.

About You

Relevant Experience & Education:

  1. Previous experience demonstrating a high level of private PA support, preferably with families with young children.
  2. Experience in coordinating complex diary management and travel arrangements.
  3. Experience in managing properties and overseeing maintenance.
  4. Experience in event coordination.
  5. Financially minded with experience in managing budgets.
  6. Discreet and accountable for sensitive information.
  7. Emotionally intelligent with strong interpersonal and communication skills.
  8. Proactive and solutions-focused, with strong planning and organizational skills.
  9. Integrity, professionalism, trust, and confidentiality are key requirements.
  10. Ability to work autonomously and make sound decisions.
  11. Good administrative skills with a strong attention to detail.
  12. Flexibility in relation to working hours and last-minute requests.
