PA to UHNW Family Kensington – Office West End

Private PA – UHNW Family Kensington (Primarily Office Based West End)

As a Private PA, working with the Executive Assistant, you’ll be part of a close-knit team providing essential support for the family’s private lives. Your role will involve effective day-to-day administration and coordination, as well as assisting with the management of the Family’s Household team and private residence. You will coordinate, streamline, and deliver on the priorities of the Principal and uphold the family’s values and principles, maintaining discretion and confidentiality at all times.

Key Responsibilities

  1. Support the coordination and planning of home maintenance at the Principals’ residences, attending on-site as required.
  2. Manage utility bills, family vehicles, and other household day-to-day requirements for all properties.
  3. Research and purchase household items as requested.
  4. Assist in the recruitment of household staff, ensuring alignment with the family’s principles and values.
  5. Manage household accounts and budgets.
  6. Oversee house staff management, including rota management.
  7. Arrange all aspects of private and corporate worldwide and domestic travel, including comprehensive itineraries, flights, hotel bookings, and car hire.
  8. Liaise with private plane management companies for logistics.
  9. Maintain travel records and ensure all travel documents are up to date.
  10. Manage the Principal’s diaries, ensuring Outlook calendars reflect all known appointments and commitments.
  11. Implement and maintain an efficient filing system.
  12. Review, proofread, and edit documents for signature.
  13. Assist in the preparation and finalization of presentations.
  14. Professionally respond to queries from worldwide affiliated offices and internal contacts.
  15. Process invoices and submit expenses accurately.
  16. Support administrative work for the Principals’ children, liaising with schools and medical consultations.
  17. Undertake personal errands for the Principals.
  18. Act as the first point of contact for incoming communication, managing e-mails, messages, and telephone queries.
  19. Coordinate and organize events within defined budgets and timescales.
  20. Travel with the Principals and their families as needed.
  21. Undertake other duties as required.

About You

Relevant Experience & Education:

  1. Previous experience in high-level private PA support, preferably with families with young children.
  2. Experience in coordinating complex diary management and travel arrangements.
  3. Some experience in property management and maintenance oversight.
  4. Event coordination experience.
  5. Financially minded with budget management experience.
  6. Discreet and accountable for sensitive information.
  7. Emotionally intelligent with strong interpersonal skills.
  8. Proactive, solutions-focused, and able to anticipate requirements.
  9. Strong planning and organizational skills with the ability to multitask.
  10. Integrity, professionalism, and confidentiality are key requirements.
  11. Ability to work autonomously and make sound decisions.
  12. Flexibility in working hours and handling last-minute requests.
