Chief of Staff (Private Secretary to a Dignitary) Central London & Hybrid by arrangement once established in the role. ÂŁ100k + bens package + bonus

This is a busy and very involving role of trust and discretion, a perfect fit for someone who understands protocol and expectations. Reporting directly to the principal, you will deal with legal, finance, and supply negotiation matters and act as a gatekeeper for the principal’s emails.

Successful candidates are those who can make the principal’s time more efficient and effective. Candidates must be highly discrete and trustworthy, someone the principal can completely rely on in day-to-day life and work. Proactivity, attention to detail, and excellent organizational skills are key attributes, along with tact and diplomacy.

A high degree of professionalism, total discretion, diplomacy, excellent time management, resilience, and being a team player are prerequisites.

You will be reporting directly to the principal and based full-time in the London office with occasional travel.

One or both candidates need to have very strong administrative and IT skills, with advanced proficiency in Excel.

Advanced people management skills are required as a team of 7 reports directly to the Chief of Staff.

Responsibilities:

  • Manage day-to-day activities: diary management, meetings, follow-ups with contacts, travel arrangements, and documentation organization.
  • Act as the sole point of contact for the principal.
  • Undertake discrete small-scale projects as requested.
  • Perform general office duties as needed.
  • Protect and manage the principal’s time.
  • Manage multiple residences with an international household team.
  • Travel to residences to deal with accounts and ad hoc projects in liaison with House Managers.
  • Negotiate and manage insurance policies.
  • Handle IT accounts and devices.
  • Arrange extensive global travel: updating logistics, creating itineraries, and preparing for last-minute amendments.
  • Exhibit an energetic and “can do” attitude to handle multiple assignments simultaneously.
  • Communicate effectively in both written and verbal forms.
  • Work autonomously with top-line direction and demonstrate a “sixth sense” of what is important.
  • Possess excellent planning skills and the ability to prioritize to achieve the right results within tight deadlines.
  • Be confident, personable, and maintain a sense of humor.
  • Manage and report on the personal expenditure of the principal.
  • Liaise with House Managers.
  • Sourcing, managing, monitoring, and payment of third-party service providers.
  • Act on behalf of the principal regarding his interests in QIPCO.
  • Serve as a proxy in legal matters.
  • Assist with the submission of tax returns on behalf of the principal.
  • Provide any other services reasonably requested by the principal from time to time.

Living in London is necessary for quick response and occasional out-of-hours availability.
