The Events and Operations Coordinator plays a key support role within the Events and Sales teams, assisting in the seamless coordination of speaker engagements and client events. This position supports logistical planning, speaker communications, contract preparation, CRM management, and research initiatives to ensure operational excellence and outstanding client service.

Key Responsibilities

  • Event & Speaker Coordination
    • Assist the Head of Events with all aspects of speaker logistics, including travel, accommodation, schedules, and on-site requirements.
    • Support event management processes to ensure smooth execution from booking through post-event follow-up.
    • Create comprehensive talent briefing documents outlining event details, client expectations, and logistical information.
    • Organize, schedule, and participate in speaker briefing calls to confirm event requirements and expectations.
    • Assist the Sales Department in preparing and issuing contracts.
    • Coordinate internally to ensure contract details align with agreed terms and speaker requirements.
  • Database & Administrative Support
    • Maintain and update CRM records accurately, including client interactions, booking details, and speaker information.
    • Ensure all event and speaker documentation is organized and accessible.
  • Research & Business Development Support
    • Conduct research on potential speakers and clients to support sales and business development efforts.
    • Provide relevant background information to assist in pitching and proposal development.

Qualifications & Experience

  • Bachelor’s degree or equivalent professional experience preferred.
  • 1–3 years of experience in events, operations, sales support, or a related field.
  • Experience working with CRM systems is preferred.
  • Strong organizational and time-management skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional, client-focused demeanor.
  • Strong research and analytical skills.
  • Proficiency in Microsoft Office and CRM systems.
