The Events Assistant role will play a crucial role in the smooth execution of events, providing hands-on support to the Event Operations team in creating high quality, industry leading experiences. The Events Assistant will coordinate and deliver a wide range of logistical tasks, helping to ensure all Leaders events run efficiently and successfully from start to finish.

Responsibilities

  • Research and identify exciting new venues to support the development of future events.
  • Source and evaluate suppliers, comparing options to secure the best products and services.
  • Contribute to the creation of the onsite brand experience, including developing printed materials and brandbook assets.
  • Support the creation and distribution of event invitations for the awards, including managing last-minute updates and changes to the attendee list.
  • Support pre-event planning by updating walkthrough decks and detailed staff briefing documents.
  • Coordinate travel and accommodation arrangements for staff and guest speakers.
  • Collate staff/speaker rooming list, liaising with hotel to confirm and distribute confirmations to staff/speakers.
  • Book hotel rooms for people outside of main hotel (eg Cvent, photographers, videographers, hosts).
  • Oversee all box requirements for the event – manage box matrix, including allocations, set up, catering requirements.
  • Create additional wayfinding/box signage as needed.
  • Collate and manage the packing list.
  • Source and buy any additional items needed.
  • Book vans and crew for transportation of all kit and equipment to/from office and Stamford Bridge, oversee load and unload of all items to correct areas.
  • Manage event logistics, including organising courier services for the delivery of materials and equipment for events.
  • Provide hands-on onsite support at smaller events and forums, ensuring everything runs smoothly on the day.

Who you are

  • Enthusiastic with a proactive attitude.
  • Flexible and adaptable approach to work.
  • Passion for events (experience in events is beneficial but not essential).
  • Ability to manage multiple tasks and event logistics simultaneously.
  • Excellent attention to detail ensuring accuracy across event materials, communications, and planning documents.
  • Confident in liaising with internal teams and suppliers to meet required deadlines.
  • Comfortable working closely with colleagues to deliver high quality events.
  • Basic budgeting awareness supporting cost comparisons and supplier sourcing.
  • Capable in Microsoft Office (PowerPoint, Excel, Word) – particularly for briefings, production run sheets, and presentation slides.
