We’re looking for a highly organised and proactive Personal / Executive Assistant to support our Le Boat Executive Team. This is an exciting opportunity to work in a dynamic, international environment, providing exceptional administrative support across diary management, travel coordination, expense processing, and leading the planning of our two major annual conferences for the Distribution and Operations teams.
What You Will Be Doing
- Manage complex diaries for the Managing Director and Executive Team, maintaining accurate calendars, resolving scheduling conflicts, and ensuring full meeting preparation.
- Schedule company‑wide, departmental and team meetings, ensuring efficient coordination and timely communication.
- Prepare meeting documents, agendas and presentations, and follow up on action items as required.
- Liaise with international colleagues to coordinate attendance at meetings, events and conferences—occasionally requiring flexibility to work outside standard hours, including UK bank holidays or weekends.
- Lead the end‑to‑end planning and onsite delivery of two major annual conferences for our Operations and Distribution teams in international locations.
- Coordinate domestic and international travel itineraries, balancing time efficiency and cost‑effectiveness.
- Collate, prepare and submit expense reports on behalf of Executive Team members.
- Track annual leave for the Executive Team, securing Managing Director approval and identifying any potential scheduling clashes.
- Lead the creation and distribution of the monthly Le Boat internal newsletter, delivering engaging and relevant communications for our global workforce.
- Collaborate closely with Executive Assistants across Travelopia to support cross‑functional efficiency.
- Support the Executive Team with the preparation and delivery of presentations.
- Carry out additional administrative duties as requested.
What We Are Looking For
- Previous experience as a Personal Assistant, Executive Assistant or in an events‑focused role.
- A high level of discretion, professionalism and confidentiality.
- Fluency in English (written and spoken); French language skills are a bonus but not essential.
- Strong proficiency across Microsoft Office applications.
- Excellent organisational and communication skills.
- Confidence working with colleagues at all levels, including the Travelopia CEO.
- Strong prioritisation, multitasking and time‑management capabilities.
- Flexibility and problem‑solving ability, especially under pressure or tight deadlines.
- Exceptional attention to detail and a commitment to delivering high‑quality work.
- A proactive, confident and assertive approach.
