PURPOSE OF ROLE
This is a hands-on, high-energy role at the heart of one of our exciting client accounts. You’ll work closely with dynamic wet led brands that value creativity, speed, and flawless execution. As a Project Coordinator, you’ll report to the Account Director and act as the linchpin between the client team and our asset management function. Your role will be essential in driving the effectiveness and efficiency of client delivery by coordinating the end-to-end asset execution of festivals and other events. This includes managing logistics, scheduling transportation, overseeing inventory, and ensuring the maintenance of production assets—all in close collaboration with our production and warehouse teams.

WHAT YOU WILL BE RESPONSIBLE FOR
- Assist in prioritising tasks and managing deadlines for the client team. Anticipate needs and proactively address issues to ensure smooth operations.
- Coordinate with the logistics team to execute the movement of assets and equipment to and from venues in accordance with project schedules.
- Liaise with suppliers, venues, and contractors to support load-in/out logistics and operational readiness.
- Maintain inventory accuracy using tracking systems and software under the direction of the Account Manager and Warehouse teams.
- Perform regular checks on asset condition, availability, and readiness for deployment.
- Support maintenance, repair, and upgrade processes by liaising with technical teams and external vendors.
- Work with warehouse staff to ensure proper organization and storage of assets.
- Maintain accurate documentation of logistics, asset tracking, and related compliance records.
- Support preparation of reports on inventory levels, usage, and damage/loss incidents.
- Contribute to health, safety, and compliance processes through documentation and adherence to protocols.
- Prepare and maintain client-facing documents such as quotes, invoices, and service records.
- Align travel and accommodation bookings with asset movements and team schedules.
- Ensure all documentation is archived in accordance with internal procedures.
