We are seeking an organised and proactive Administrator to support the daily operations of a busy Fire & Security company across various locations. The role involves coordinating engineers, managing customer communications, maintaining compliance records, and supporting general office operations.

Key Responsibilities

  • Provide administrative support to management and engineering teams
  • Manage incoming calls, emails, and customer enquiries professionally
  • Coordinate engineer schedules, appointments, and service visits
  • Process job sheets, quotations, purchase orders, and invoices
  • Maintain accurate customer records and documentation
  • Ensure service reports and compliance certificates are correctly filed
  • Support compliance requirements including NSI, SSAIB, and BAFE documentation
  • Liaise with customers and engineers regarding job updates and attendance
  • Monitor completion of works and follow up outstanding paperwork
  • Assist with health & safety administration and internal procedures
  • Prepare reports and update internal systems/databases
  • Order office supplies and support general office administration
  • Deliver excellent customer service and resolve queries efficiently
  • Support wider operational activities as required

Skills & Experience

  • Previous administration experience essential
  • Strong organisational and multitasking abilities
  • Excellent communication and customer service skills
  • Good knowledge of Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and within a team
  • High attention to detail and accuracy
  • Fire & Security industry experience desirable
  • Experience coordinating field engineers or service teams preferred
