Overall Purpose Of Role

To lead and manage Lawtech's facilities, logistics and workplace services, ensuring the Company's offices, operational support services and associated contracts are safe, compliant, efficient and cost-effective.

The role is responsible for leading the Facilities team, managing key suppliers and ensuring high standards of service are delivered across the business.

  • Facilities Management
  • Ensure the office cleaning contract is maintained and kept up to date, responding to any cleaning-related queries as required.
  • Manage the Company’s air conditioning contract, and assist with any queries or issues relating to the air conditioning
  • Manage the Company’s alarm systems and assist with any issues or queries relating to the Company’s alarm systems, including door entry system, intruder alarm, CCTV and fire alarms
  • Manage the Company insurance and ensure we are up to date and carrying out any renewal meetings, as well as putting together relevant paperwork and documents
  • Manage the waste management and ensuring that documents are up to date and putting together paperwork when required. Assisting with any queries and issues
  • Manage the Company’s water heaters, assisting with any issues
  • Manage the general office repairs
  • Manage furniture and any necessary repairs. Assisting with any renewals
  • Manage that the fire extinguishers are up to date and managing this for both office and site.
  • Assist with any paperwork or renewals
  • Prepare, monitor and manage the annual Facilities budget.
  • Manage the upkeep of the office and ensuring that any issues within the office is reported and dealt with effectively
  • Responsible for arranging and issuing parking permits as and when required for the head office
  • Manage three direct reports in their Compliance, IT, Office and General H&S Administration roles by conducting regular one-to-ones, managing performance, supporting development and managing workloads.
  • Manage the departments recruitment, absence management, probation reviews, annual PDR’s and succession planning.
  • Logistics Management
  • Manage the Company's fleet administration, including fuel cards, congestion charges, Dart Charge accounts, parking fines and associated supplier relationships.
  • Manage Company train tickets and be the first point of call for ordering train tickets for both office and site staff. Assisting with any queries where possible
  • Book hotels and be the first point of call for booking hotels for both office and site staff when required
  • Managing fleet vehicles insurance, assisting with queries relating to renewals and vehicle claims
  • General Administration
  • Manage our Amazon account and do orders as and when required
  • Undertake any other reasonable duties commensurate with the level of the role.
  • Collaborate With
  • Work closely with all internal departments, suppliers, general and maintenance contractors and service providers.
  • Keep the Head of HR updated on facilities performance, operational issues and business risks.
