We are looking for a confident administrator to join a busy recruitment operation, supporting the coordination of temporary staffing across a large network of nursery settings. This is an ideal opportunity for someone who enjoys juggling multiple priorities, working with different teams and suppliers, and ensuring everything runs smoothly behind the scenes.

About the Role

As an Administrator, you will play a key role in coordinating temporary staffing requirements and supporting the management of external recruitment agency relationships. Working closely with internal managers, recruitment teams and agency suppliers, you will receive staffing requirements, coordinate shift requests, maintain accurate records and ensure bookings are correctly processed. This is a busy, process-driven Administrator position where attention to detail, organisation and the ability to work at pace are essential.

Key Responsibilities

  • Coordinating temporary staffing and shift requirements across multiple nursery locations
  • Receiving staffing requests from internal managers and accurately recording requirements
  • Managing rotas and identifying staffing gaps
  • Liaising with recruitment teams and external agencies to help fill temporary staffing requirements
  • Forwarding shift requests to the appropriate recruitment agencies
  • Maintaining strong working relationships with agency contacts and consultants
  • Keeping agency profiles, contact details and agreed rates accurate and up to date
  • Setting up and maintaining agency and worker information within internal systems
  • Maintaining a central register of temporary agency staff
  • Ensuring bookings are correctly recorded against the appropriate agency, worker and shift
  • Updating spreadsheets and internal recruitment systems
  • Supporting the administration of agency charge rates
  • Working closely with finance to ensure timesheets correspond with invoices
  • Maintaining accurate records throughout the recruitment and booking process

Skills & Experience

We are looking for someone who is:

  • Highly organised with excellent attention to detail
  • Confident managing a busy and varied administrative workload
  • Comfortable working with spreadsheets and multiple systems
  • Process-driven and able to maintain accurate records
  • Confident communicating with managers, recruitment consultants and external agencies
  • Able to prioritise changing requirements and work effectively under pressure
  • Proactive and comfortable taking ownership of tasks
  • A strong team player with excellent communication skills

Previous experience within recruitment, temporary staffing, agency coordination, scheduling or a similarly fast-paced administrative environment would be advantageous.
