We are looking for a numerate, process-driven and detail-focused individual with strong spreadsheet skills to join a busy and supportive team. This is a varied role that would suit someone who enjoys working with numbers, data and detailed information. You’ll be responsible for checking information, maintaining accurate records, preparing documentation and making sure processes are followed correctly.
Previous experience in a similar role is not essential, as full training will be provided. What’s most important is that you are highly accurate, comfortable using Excel and spreadsheets, confident working with figures and naturally inclined to spot when something doesn’t look quite right.
As Quality Documentation Coordinator, you’ll work across a number of different processes, liaising with colleagues, customers and suppliers to ensure information and documentation is accurate and up to date.
Key Responsibilities
- Reviewing incoming orders and identifying any specific requirements.
- Checking information against internal systems and records to ensure accuracy.
- Maintaining accurate records relating to orders, stock and documentation.
- Preparing, checking and issuing documentation.
- Updating spreadsheets and internal systems with accurate information.
- Reviewing documentation received from suppliers and identifying any discrepancies.
- Checking that all required information has been completed before orders are processed.
- Recording incoming deliveries, quantities and reference information accurately.
- Investigating discrepancies in records, documentation or stock information.
- Reviewing paperwork and updating internal records as required.
- Processing documentation and ensuring it has been correctly completed and authorised.
- Responding to customer queries and providing relevant supporting documentation.
- Liaising with suppliers where information or documentation requires clarification.
- Working closely with different internal teams to ensure processes run smoothly.
- Providing general administrative and documentation support to the wider team when required.
Skills & Experience
- Strong numeracy skills and confidence working with figures.
- Good spreadsheet skills, particularly Microsoft Excel.
- Excellent attention to detail and the ability to identify errors or discrepancies.
- A methodical and process-driven approach to work.
- Confidence working with detailed information and completing accurate data entry.
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- Good general IT skills and confidence learning new systems.
- Clear written and verbal communication skills.
- Confidence communicating with customers, suppliers and colleagues.
- A proactive attitude and willingness to learn.
- Previous experience within administration, order processing, stock control, data management or documentation would be advantageous, but is not essential.

Salary & Training
Salary of approximately £26,000 per annum.
Full on-the-job training provided.
