Role Overview
We are looking for a Client Support Assistant to join our Pensions team, providing the operational and administrative backbone that keeps client engagements running smoothly.
This role sits at the heart of day-to-day client service activity, supporting our Client Support Executives and Trustee Directors by ensuring engagements are well organised, records are kept up to date and meetings are effectively supported.
It spans client and team administration, systems management and financial processes.

You will be closely supported by our Client Support Executives, their Line Manager and the wider Pensions team, and we actively encourage curiosity, on-the-job learning and a genuine interest in using technology to do the role well.
Job Role & Responsibilities
- Main Responsibilities
- Client and engagement administration for portfolio of client engagements
- Support with diary management, including scheduling meetings, room bookings, invites, agendas and meeting papers.
- Assist with full travel arrangements and logistics where required, proactively identifying requirements in advance.
- Engagement expense management and reconciliation
- Understanding and actioning client-specific chargeable work under direction of Trustees and CSEs
- Assist with operational aspects of client service delivery
- Generate engagement and client reports as needed by the engagement owners
- Learning about and implementing the client onboarding and scheme setup processes.
- Systems and Technology Administration
- Maintain client records and documentation in accordance with governance standards and across all systems
- Maintain data quality across client records and engagement information across key systems
- Support technology adoption and building confidence, helping Trustees to use systems effectively
- Assist with routine data checks and record updates across systems as requested by Trustees or Managers
- Assist with document filing, version control and maintaining accurate records
- Support system updates, testing and process changes under guidance.
- Financial Coordination
- Assist with invoicing including WIP reviews, billing runs and client queries
- Help process expenses, credit notes and rebills under guidance
- Maintain accurate time recording against the right time categories following guidance from Trustees and CSEs
- Learn more about the basic engagement financials (revenues, costs and margin) to eventually flag areas of concern
- Escalate billing, WIP or client finance queries to the relevant CSE, Trustee or Manager.
- General and Team Duties
- Help coordinate internal meetings, team events, away days and departmental activities.
- Support minute-taking, action tracking and meeting administration where required
- Assist with maintaining intranet content and team resources
- Team collaboration – Work proactively with CSE colleagues to ensure balanced workload, absence cover and seamless client service.
Contribute ideas for improving team processes and efficiencies.
- Professional development – Undertake training as appropriate and engage fully in the performance management process
- Culture contribution – Contribute positively to the Law Deb culture, attend meetings as required and carry out duties willingly and diligently
- Carry out such other tasks and projects as you may be reasonably asked to do from time to time.
Knowledge, Skills, Experience
- Previous administration or office support experience, ideally in a professional services or client-facing environment.
- Strong organisational skills and good attention to detail.
- Some experience of diary management, travel booking, invoicing or client administration would be helpful, but is not essential.
- Proactive problem-solver with a "sleeves rolled up" mentality who is flexible and keen to learn
- Good written and verbal communication skills while maintaining discretion
- Able to follow instructions, ask questions and escalate issues where appropriate.
- Confident using Microsoft Office, including Outlook, Word and Excel.
- Level 3 qualification in Business Administration, Office Administration, Secretarial Studies or a related course would be helpful, but not essential.
