A top-tier City law firm is seeking a Practice Assistant to join its Residential and Secured Lending team. This is an excellent opportunity for a junior to mid-level Practice Assistant looking to take the next step in their career, working within one of the largest and most experienced residential property teams in the sector, recognised as top-tier in the Legal 500 and Chambers High Net Worth guides.
The successful Practice Assistant will provide proactive support to a team of around 17 partners, associates and trainees, working closely with Fee Earners to deliver an excellent standard of client service across a varied and high-quality caseload.
Key Responsibilities of the Practice Assistant
- Organisational Support
- Proactive diary management and awareness of Fee Earners' workloads, planning ahead with minimal supervision
- Processing relevant applications, forms and searches with minimal supervision
- Maintaining a strong working knowledge of departmental systems and processes
- Client Relationship and Business Development
- Providing excellent service to internal and external clients in a timely, professional manner
- Acting as first point of contact for Fee Earners
- Assisting with the delivery of marketing communications and recording business development meetings via the CRM system
- Upholding client confidentiality at all times
- Document Production
- Producing high-quality typed work in accordance with house style, at speed and with accuracy
- Making effective use of the Document Management System
- Creating new documents from firm templates using CRM contact data where appropriate
- Proof-reading all documents for spelling, grammar and sense
- File Management
- Maintaining regular file management with Fee Earners, ensuring files are kept up to date, closed and archived as appropriate
- Keeping accurate records of files sent to off-site storage
- Financial Risk Management
- Preparing bills as required by Fee Earners
- Preparing AML documentation and obtaining relevant client documentation in a timely manner
- Carrying out conflict searches and correctly identifying work type
What We're Looking For
- Previous secretarial experience within a law firm is essential
- Experience within Residential and Secured Lending would be helpful, though not essential
- Strong IT skills across the Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Excellent timekeeping, organisation and the ability to prioritise effectively
- A positive, flexible and team-oriented approach, willing to support colleagues during busy periods
- GCSE (or equivalent) grade C/level 4 in Mathematics and English essential
