Marketing Coordinator (supporting the Marketing/BD Manager) to work for a boutique City law firm who are leaders in their field, duties will include:
Reporting, strategic planning and client data:
- Supporting the Marketing and Business Development Manager in reporting on our marketing and BD initiatives, including events and news alerts
- Helping to track new client conversion rates and associated fees against our segment targets, identifying trends to help inform where marketing efforts should be focused
- Working to ensure our contact database is kept up to date, with contacts tagged appropriately and bounce-backs are dealt with in a timely and efficient manner
- Researches and analyses, prospects, market trends and competitor activity to identify opportunities for growth and improvement
- Updates and maintains accurate records and databases of business development activities and outcomes
- Collate website traffic statistics and attendance statistics following events and thought-leadership publications
- Carry out competitor analysis on an ad-hoc basis
- Ability to analyze BD data and provide insights to inform business decisions would be helpful but not essential
Event coordination:
- Coordinating logistics for our in-person events and conferences, including (but not limited to): invitations, list management, name badges and signage, room set-up, and attendee communications (pre- and post-event)
- Supporting webinar delivery via Zoom, including managing the waiting room and admitting attendees, launching polls (if relevant) recording the session, and attendee communications (pre- and post-event)
- Assist with planning and execution of client events
- Helping organise BD and client events
- Events preparation including name badges and promotional materials
- Attendance of firm events to assist with registration and greeting clients
- Venue research for events
Thought leadership, content and PR:
- Assisting with the management of the firm’s content pipeline to ensure a structured, well-balanced approach that provides regular visibility across our client segments
- Coordinating news alerts via Mailchimp, preparing content for final review and distribution
- Attending various BD and marketing meetings (including our monthly meetings with PR agency and segment group meetings) to gather content ideas and track action items
- Assisting with the preparation of online and hard copy marketing materials as needed
- Adding and updating of content on the firm’s website, including lawyer bios and thought leadership, and other pages on an ad-hoc basis
- Supporting on thought leadership by posting blogs and assisting on the creation of client alerts
- Assisting the Business Development Manager in creating and delivering credentials and pitch documentation, often to short deadlines; Maintaining records of pitch materials
- Using mailchimp, contacts database and, when adopted, the CRM system and assisting the team in researching and sending marketing mailings
- Partnership M&A deal recording and collation to ensure the provision of timely information
Legal directory and awards submissions:
- Working closely with the Marketing and Business Development Manager to support with legal directory submissions, including managing client referee lists, compiling work highlights and proofreading submission documents
- Assisting with ad-hoc awards submissions as required
- Preparing first drafts of marketing and BD slides including pitch documents, lawyer bios and materials for internal and external events as needed
- Assistance compiling and cross-referencing legal directory submissions
- Ensuring information on the team including awards and rankings is up to date
Social media:
- Assisting with the drafting and posting of social media content to enhance engagement and raise the profile of the firm and its lawyers
- Repurposing existing content to maintain a consistent and targeted social media presence
- Assistance on the production of social media posts for the firm LinkedIn account
Podcast/video editing:
- Assisting with the editing of podcast and video content as necessary
General support:
- Assisting on client BD research tasks using various research tools
- Assists in the implementation of business development strategies and plans
- Provides administrative support to the head of Marketing, including scheduling meetings, managing diaries, note taking and preparing reports
- Provides regular updates and reports to the head of Marketing, MP, PM team, partners and other stakeholders
- Reviewing, formatting and drafting BD/PR documents and emails
- BD/PR Agenda preparation and minute taking
- Working with the PAs to book meetings and assist with firm-wide BD diary management
- Diary management of the marketing and business development team
- Meeting management and room bookings
- Provide general assistance to the Head of Marketing and Business Development, the MP and Partners and wider lawyer team
Specific skills/experience required:
- Excellent written and oral skills
- Proficient in PowerPoint, Excel and Word and interest in developing related tech skills; Knowledge of CRM systems and database management helpful but not essential
- Ability to prioritise and respond quickly to BD requests which have a short turnaround time
- Strong team player and highly motivated
- Excellent organisational skills
