A leading law firm is seeking an experienced Assistant Secretarial Services Manager to play a key role in leading and developing a high-performing secretarial team within a busy practice group. This is an opportunity to take ownership of operational delivery, drive efficiencies and work closely with senior stakeholders.
The role:
- Manage the day-to-day performance and workload of secretarial staff (office and remote)
- Ensure effective resource allocation to meet changing business needs
- Build strong relationships with key stakeholders, including Practice Group Leaders, HR and Finance
- Support onboarding, training, mentoring and development across the team
- Coordinate secretarial cover and manage absence, annual leave and HR processes
- Conduct performance reviews, probation checks, and support salary processes
- Review and improve workflows, processes and team structures
- Support practice group operational activity and strategic initiatives
- Champion continuous improvement, including the adoption of new technology and AI tools
- Drive consistency and best practice across the wider secretarial function
About you:
- Proven experience in a supervisory or team management role (minimum 3 years)
- Strong background in a professional services environment (legal experience preferred)
- Confident leader with the ability to influence and build credibility at all levels
- Excellent organisation and workflow management skills
- Strong communication and interpersonal skills
- Advanced IT skills, including Microsoft Office and collaboration tools
- Resilient, adaptable and able to manage competing priorities
- Proactive approach with a focus on continuous improvement
